The Program Support Assistant will provide full support to the Chief of Staff Office, Health System Specialist (HSS), Emergency Department (ED) administrator, Chiefs of the Emergency, Audiology, Nuclear Medicine, and Dental services. The incumbent will operate independently in carrying out the objectives of section management in support of the section's mission of education, research, and patient care.

Include but are not limited to:

  • Prepares technical documents and performs problem solving on systems to the extent of knowledge during program failure which may include improper tied results to the system, troubleshooting of system malfunctions regarding results that will not connect to the CPRS system.
  • Responds to Customer Service inquiries and responses (PATS/MEDALIA) daily.
  • Provides daily program and administrative support within the service by gathering documents, reports, statistics, information, and data to create concise reports for use by supervisors.
  • Authorized user of the Government Purchase Card Program.
  • Communicates with administrative, technical, and professional personnel in VA and other agencies to resolve problems, obtain necessary information regarding procurements.
  • Reviews and monitors consults of service for the Emergency, Audiology, Nuclear Medicine, and Dental services outpatient new and return clinics for insurance of continuum of care.
  • Serves on various committees of the medical center at the request of the supervisor for weekly or monthly meetings.
  • Reviews existing directives and instructional material pertaining to administrative practices and clerical procedures to be aware of new, revised or amended procedures for such matters as preparation and processing of correspondence, report forms, filing, mail procedures, preparation of travel vouchers, training, timekeeping and security procedures.
  • Distributes monthly call schedules, AMION Call Schedule, weekend call schedules, conference schedules, pager numbers, etc., as needed.
  • Creates a variety of correspondence, reports and spreadsheets as a central point of contact to provide additional information and/or explanation of any requirements to further care within the section.
  • Identifies, investigates, analyzes and makes recommendations for the solution of problems.

Work Schedule: Monday-Fridays 07:30am-04:00pm or 08:00am-04:30pm

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of communication and interpersonal relations, including the ability to appropriately and courteously relate to internal and external customers; Knowledge of the time keeping program and system; In depth knowledge of informal and formal purchase procedures and methods as prescribed by Federal and VA regulation, policy, and procedural guidelines; Knowledge and experience in generating and analyzing data reports; Knowledge and experience performing Human Resource and Credentialing related tasks; Experience with VA scheduling programs (i.e. CPRS, VISTA).

Physical Requirements: Most work is in an office setting. There is some standing, bending, stooping, walking, and carrying of light items to different areas of the medical center and health science campus. Incumbent carries lightweight items not normally weighing more than twenty-five pounds.
