GENERAL DESCRIPTION:

Ensure the ongoing access and preservation of historically, administratively, and/or legally important records through imaging services, indexing, and quality assurance on digitization performed by State Imaging Center (SIC) staff to ensure they meet professional standards. Responsible for facilitating the microfilming of the Wyoming newspapers used by reading room staff and patrons for research, and maintained evidentiary requirements specifically regarding legal notices as well as facilitating microfilm loans to the University of Wyoming Libraries for the ongoing newspaper project. Responsible for all research requests involving motor vehicle titles. This may include working with members of the public, county clerks, and other agencies

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level
  • Quality control of SIC scanning projects/training/troubleshooting, which includes consistency and accuracy of metadata, scan quality, accurate addition to the Digital Archives, coordination with SIC employees on rescanning as necessary, training new staff on the hardware and software used by the SIC.
  • Act as the first level of technical support for the SIC systems.
  • Collect and prepare Wyoming newspapers for microfilm vendors.
  • Contact publishers when problems arise such as missing issues
  • Coordinate with the microfilm vendor for paper pickup and microfilm deliveries.
  • Perform quality control, document entries for microfilm database, and file research and master rolls of microfilm received back from the vendor.
  • Maintain logs of all aspects of the process.
  • Coordinate with the State Archivist to send invoices to public libraries for copies of newspaper microfilm and monitor payments.
  • Facilitate loans of newspapers, and loans to vendors and University of Wyoming Libraries for upload to the Wyoming Newspaper Project.
  • Maintain logs of the project.
  • Perform research requests involving motor vehicle titles. This may include working with members of the public, county clerks, and other agencies.
  • Perform other research for Archives staff and patrons.
  • Work with Archives and Records management staff to assess collections for any records that can be destroyed according to the legally approved retention schedules
  • Monitor the space utilized by the collections and adjust as necessary
  • Assess collections for redux or other issues
  • Maintain the MARSS (microfilm) database and spreadsheets associated with film and fiche.

Qualifications



PREFERENCES:

Preference may be given to applicants with a Bachelor's Degree in Records or Data Management, including experience working with microfilm and microfiche.

KNOWLEDGE:


  • Knowledge of scanning and imaging systems and procedures.
  • Knowledge of quality control standards for imaging.
  • Knowledge of current technology and trends in the profession.
  • Knowledge of personal computers including software such as spreadsheets, relational database programs, and equipment such as scanners and imaging systems.
  • Communication Skills – both written and oral.
  • Courteous customer service to state agencies, the public, vendors, and other staff members in an efficient and pleasant manner.
  • Data compilation and organization.
  • Experience with word processing and data management applications.
  • Experience with document scanners and image-capturing software.
  • Ability to follow instructions and work independently and as a team member.
  • Skill in flexibility with changing job requirements and schedule changes.
  • Ability to troubleshoot processing, maintenance, and repair of equipment.
  • Familiarity with records and information management practices and retention schedules.
  • Ability to train internal and external patrons on the proper handling of materials, digitization standards, software, and hardware.


MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Records or Data Management) Experience: 0-1 year of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician Certificates, Licenses, Registrations: None
