CATERING AND EVENT SALES PLANNER

Catering and Event Sales Planner conceive, organize and execute special events from corporate deliveries to special occasions such as weddings, birthday parties, anniversaries and retirement parties. They assist in executing their clients’ event visions through the execution of the client’s needs and budgets.

Catering and Event Sales Planner assume multiple responsibilities. They begin by meeting the client to determine the type of party they intend to host. The client and planner will discuss location and budget. The planner will start to determine the layout of the event by taking pictures, measuring the space, and drawing out floorplans.

The Catering and Event Planner will start to do extensive research and will assume all responsibilities for planning the party, from determining the menu to booking vendors. The planner should be present during the event to handle any issues that may arise.

This is a management position, which will require the candidate to provide professional direction to the staff that they will be overseeing.

• Knowledgeable of food service styles, as well as Food Health and Safety Standards
• Two-plus years’ experience in events and venue sales in the event planning industry
• Experience Planning events form 10-500 guests.
• Ability to work directly with clients and ensure all clients requests are met.
• Able to work nights and weekends as the event industry requires.
• Willingness to attend networking, educational and social functions to increase visibility and sales
• Willingness to bring in new business, make contracts, sales, and push the Brand you represent
• Establish and maintain relationships with industry influencers and key community and strategic partners for maximum exposure
• Coordinate details of events such as weddings, birthdays, anniversaries, charity events, surprise parties, trade shows, sales meetings, business meetings, employee appreciation events, and tenant appreciation events
• Conduct inhouse tastings for social events prior to event booking
• Computer skills and experience involving invoicing, proposals, deposits, BEO’s and equipment pull sheets including all necessary event paperwork.
• Caterease knowledge preferred
• Calculate budgets, analyze, and make adjustments when necessary
• Work with internal departments including staffing, operations and culinary.
• Accounting duties such as invoice processing, vendor payments and receipt collection
• Understand contracts such as customer, vendor, and venue
• Ability to achieve sales goals.
• Knowledgeable in workings of banquet facilities, floor plans, room set up and planning and executing an event
• Manage staff responsible for event coordinator activities
• Professional, detail oriented, multi-tasking, time management and deadline oriented
• Provide Staffing Manager with Event Staffing needs in a timely manner
• Ensures staff is adequately prepared for event
• Strong ability to analyze and evaluate overall event performance
