Job Summary

This position is responsible for providing program support to the Fitness and Wellness Department. Coordinates and plans work assignments for staff in the department. This position assists with the creation of department goals and procedures as well as performing tasks related to program marketing, budgeting, class scheduling, staff scheduling and ordering of supplies. This position will conduct data research and collaborate with faculty to prepare analytical reports. This position provides support for full time faculty and adjunct faculty along with leading work for part-time staff. Provides basic program information to students, faculty, staff and the public; provides troubleshooting support to resolve issues.

Essential Functions

Program Coordinator Tasks 75%

  • 10% Provides information about the department programs to students, faculty, staff, and community members and referral to faculty and staff; Maintains and assists in the

creation and organization of correspondence, program materials, program records, and forms with department residential faculty, adjunct faculty, and staff at both the GCC main

and North campuses

  • 5% Creation and distribution of department promotional and marketing materials including maintenance of the department's social media accounts and representing the department at marketing events in the community or at the college
  • 10% Assists with maintaining the department budget, communicates with vendors, obtains goods and services quotes, orders supplies, organizes all department budget requests and approvals, and maintains and reconciles transactions from personal and department ProCards
  • 5% Coordinates facility and room assignments for the department or external entities for efficiency and effectiveness. Collaborates with the two GCC Fitness Center managers and office

assistant on department projects

  • 20% Assists the Department Chair and Occupational Program Director in the organizing and planning of department staff work and the creation and implementation of policies and procedures. Assists faculty, the Faculty Chair, and the Occupational Program Director with planning, implementation, and oversight of department projects and events like college-wide health fairs, recruitment events, and outreach initiatives. Assists the Faculty Wellness Committee and the Exercise Science and Nutrition Club with the coordination of projects and events.
  • 10% Assists faculty with class scheduling, maintains and monitors department class schedule, communicates with faculty about enrollment and scheduling issues, completes all Change of Master Schedule (CMS) requests, and communicates with the college scheduling department for any enrollment questions/concerns
  • 10% Assists the Occupational Program Director with performing research, data entry, and analysis of department programs
  • 5% Assists in onboarding/training of new employees in the department. Maintains and monitors staff and instructor schedules within Time and Labor systems, investigates and rectifies scheduling errors

Administrative Tasks 25%

  • 10% The first line of communication for in-person, telephone, and electronic correspondence between the department and student, college, and community members
  • 5% Selection, inventory, and replacement of department office supplies, and classroom supplies
  • 5% Organizes and allocates department supplies
  • 5% Maintains office files and documents including personnel files and official department documents. Assists employees with Time and Labor questions

Minimum Qualifications

Bachelor’s Degree from a regionally accredited institution in education, business or public administration, or a directly related field and one year of experience in researching information, gathering data, performing preliminary analysis and preparing reports.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

  • Two or more years of administrative office support and/or office coordination (preferably at a college or university)
  • Two or more years leading work of staff
  • Two or more years researching and/or preparing data to support projects, presentations and/or proposals
  • Two or more years gathering and/or compiling data and using online systems such as Financial Management, Human Capital Management, Student Information Systems, Microsoft Office suite, Canvas, and/or Google
  • Two or more years providing customer service for a focus area (preferably at a college or university)
  • Education in an Exercise Science related field

Special Working Conditions

Possession of a valid State of Arizona Class D driver's license required; must meet minimum standards regarding driving: http://www.maricopa.edu/legal/rmi/vehicle.htm#requirements

Travel to campus during interview/selection process will be at candidate’s own expense

May be required evenings or weekends

May require prolonged periods of viewing a computer screen

May be required to lift or carry up to 25 lbs
