Overview

As an HR Associate, you will play a crucial role in providing administrative support to the Human Resources department, with a primary focus on supporting the benefits and leave area and enhancing employee engagement. Your responsibilities will include greeting associates, scheduling meetings, distributing companywide communications, managing HR projects and programs, supporting the Benefits and Leave Manager and coordinating employee appreciation events. Additionally, you will act as a liaison between associates and the HR department, ensuring efficient communication and support. Your role will be instrumental in ensuring the smooth operation of HR functions, particularly in areas such as benefits administration, leave management, and employee engagement initiatives.

To ensure success as an HR Associate, you should have excellent communication and writing skills and good interpersonal skills. A top-notch HR Associate is well organized, efficient, professional and approachable.

Responsibilities

Provide administrative support to the Human Resources department, primarily the Benefit and Leave Manager as well as the VP of Human Resources & Office Services. The areas of support will include Leaves and Benefits, HRIS, and others as needed.

  • Greet associates, vendors, and candidates, creating a welcoming environment
  • Schedule and set up rooms, prepare materials, and order catering for meetings, both virtual and onsite
  • Answer and direct departmental phone calls, providing assistance as needed
  • Distribute incoming mail and prepare outgoing mail, including condolence cards
  • Take notes and maintain templates during departmental meetings to ensure accurate documentation
  • Prepare and send companywide memos and organizational announcements, such as holiday emails and new hire announcements
  • Provide technical support, including submitting IT tickets and assisting with Microsoft applications
  • Assist in the administration of benefits programs, including distributing benefits materials, answering employee inquiries, and coordinating benefit enrollment activities
  • Support leave management processes, including assisting with leave applications, tracking leave balances, and communicating leave policies to employees
  • Collaborate with the Benefits Manager to ensure accurate and timely processing of benefit-related paperwork and documentation
  • Assist with the coordination of open enrollment activities, including scheduling meetings, preparing enrollment materials, and assisting employees with benefit elections
  • Maintain accurate records and documentation related to benefits and leave administration, ensuring compliance with company policies and regulatory requirements
  • Serve as a point of contact for employees seeking assistance with benefits and leave-related matters, providing guidance and support as needed
  • Set up assessments and assist with workers' compensation claims and Concentra authorizations
  • Collaborate with other HR team members to streamline administrative processes and improve overall efficiency in benefits and leave administration
  • Perform other duties as assigned by the HR department


Manage the following HR projects and programs:

  • Administering Gift/Milestone Programs
  • Fund Raising Events/Opportunities:
  • Open Enrollment
  • Suggestion Box review
  • Ordering business cards
  • Company Kitchen (VendRite)
  • Designing posters and emails (Canva)
  • Creating and distributing surveys (Microsoft Forms)
  • Assisting with the Solicitor's Permit and Transit Insignia renewal


Qualifications

  • Bachelor’s Degree or equivalent experience
  • 1-2 years Human Resources experience preferred but not required
  • Must have top notch PC skills including Word, Excel, PowerPoint and ability to use an HRIS. ADP Workforce Now Preferred
  • Experience providing administrative support to a team
  • Must possess strong interpersonal skills. Must be able to communicate clearly, both written and orally, as to communicate with associates, members of HR and all levels of management. Must possess strong organizational skills with the ability to multi-task
  • Must be able to prioritize and plan work activities as to use time efficiently. Must be detailed oriented. Must be organized, accurate, thorough, and able to monitor work for quality. Must be dependable, able to follow instructions, respond to management direction and must be able to improve performance through management feedback. Ability to maintain confidentiality is crucial
