Position description (Summary)
The Document Control Specialist is part of the Quality Document Control staff who oversees Penumbra’s Quality Management System (QMS) and ensures internal policies and procedures are correctly followed for the generation, review, finalization, storage, delivery and tracking of Penumbra documentation. They are responsible for maintaining and upkeeping the QMS. Conduct internal reviews and audits, and documenting non-conformances as necessary. QDC review and edit conformance test reports working closely with the security evaluators to make sure each report content is accurate. QDC is responsible for delivering all outbound materials to the intended recipients (e.g. Customers, CMVP, etc.).
Job Functions
The Document Control Specialist is responsible for the implementation of policies meant to ensure quality assurance of Penumbra’s generated work product (i.e. reports). The Document Control Specialist is an integral part of the QDC team who maintains active status and security of physical and electronic evidence in compliance with NVLAP requirements and internal policies. QDC are responsible for the submission of documents to third parties, including Customers and validation authorities (e.g. CMVP).
As part of the duties, QDC will learn to specialize in the following standards, policies and procedures:
- ISO 17025
- NVLAP Handbook 150
- NVLAP Handbook 150-17
- Penumbra Quality Manual
- Penumbra Procedures
Additionally, QDC will become proficient in the submission requirements and procedures for the following programs:
- Cryptographic Module Validation Program (CMVP) FIPS 140-3 Conformance Testing
- Postage Evidencing System (PES) conformance testing programs for
- USPS
- Deutsche Post A.G. (DPAG)
- UK Royal Mail
- Canada Postal Corporation (CPC)
- TNT Post (Netherlands)
Qualifications
- Associate Degree in technical communication, English, publishing, or related field (Required)
- Bachelor’s Degree OR Minor in English, technical communication, publishing, or related field strongly preferred (Preferred)
- Minimum 1 year of experience in Business, Writing, publishing, or related field (Required)
- Technical writing proficiency (Preferred)
- Editing experience (Preferred)
- Familiarity with conformance to government regulations (a plus)
- Familiarity with cryptography (a plus)
Licenses and Certifications
- None (Required)

- Ability to research and problem solve. (Required)
- Ability to work independently. (Required)
- Ability to work effectively in high pressure, high volume, high growth environment, balancing several assignments concurrently with different deadlines. (Required)

Computer Skills
- Advanced computer skills in Microsoft Office suite required (Required)
