Under the direct supervision of the Operations Manager, the Office Manager manages an assigned CLA SoCal facility and provides administrative support for CLA SoCal Operations and Legal Services. This position requires independent judgment to plan, prioritize, organize, and complete a diversified workload. The Office Manager greets and assists clients, staff, and others and requires proficiency in office productivity applications such as Microsoft 365 and Windows operating systems.

  • Responsible for day-to-day operations (including facilities) and administrative support at assigned CLA SoCal facility.
  • Provides front desk coverage, greeting and assisting clients, visitors, and vendors.
  • Logs, scans, and processes all incoming mail daily and supports outgoing mail as needed.
  • Oversee all assignments and changes in staff workspaces for assigned facility.
  • Onboards new employees to the facility including office, supplies, IT, keys and alarm orientation.
  • Plan, coordinate and support onsite meetings, trainings, and events as requested.
  • Supports workshops and clinics with client registration, preparation of materials, and logistics for on-site activities.
  • Order, receives, and track inventory of office supplies, equipment, and furniture.
  • Coordinate with IT to ensure all copiers, printers, postage, and other office machines are maintained and operational.
  • With guidance and support from the Operations Manager and Directing Attorneys, provides defined administrative support for Legal Services.
  • Supports monthly and quarterly funder reporting.
  • Prepares letters, memos, forms, spreadsheets, and other reports according to written or verbal instructions.
  • Enters and/or reviews data; scans and uploads documents.
  • Documents and supports the maintenance of all facilities processes, greets vendors for routine maintenance, and communicates with facilities and Operations Manager.
  • Collaborate with other leaders to develop and implement program-wide policies and procedures, including safety and emergency response measures.
  • Communicates and follows approved policies and procedures.
  • Supports operations volunteers.
  • Supports the advancement of special projects assigned by the Operations Manager by coordinating and/or assisting with designated teams.
  • Works with a multicultural perspective of inclusion and diversity.
  • Other duties and projects as assigned to meet the needs of the business.

Requirements

  • Degree in business administration, communications, or related field and/or a combination of education and experience.
  • 4+ years of experience as an Office Manager or in a similar capacity.
  • Information gathering and monitoring.
  • Planning, calendaring, and organizing.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills
  • Excellent time management skills with a proven ability to meet deadlines.
  • Detail oriented and highly organized with ability to manage several projects at once.
  • Ability to take initiative and prioritize tasks.
  • Strong working knowledge of Microsoft 365 including Word, Excel, Outlook and SharePoint.
  • Familiarity with project management software.
  • Bi-lingual Spanish required.
  • Experience in office management of a non-profit, law office or operations preferred.
  • Ability to model the organization’s values (compassion, collaboration, trust, accountability, and equity) in personal behavior and throughout administration processes.
