Job Summary: Assist President and other Executives with administrative tasks.

Essential Functions

  • Trains and supervises receptionist/clerk. Develops and implements standards and procedures to ensure a high level of service is provided to all customers on the phone or in person. Fills in on receptionist job for short times in case of absence or sickness.
  • Assists President with various tasks including correspondence, record keeping, filing, scheduling, travel arrangements, making itineraries, etc. This includes reviewing, proofreading, and editing documents prepared for the President’s signature. Maintains files in such a manner as to allow for quick retrieval of information.
  • Acts as liaison between the President, subordinates or others, by transmitting directives, instructions and assignments and following up on the status of assignments.
  • Updates President on status of issues before scheduled meetings
  • Coordinates and facilitates the President’s calendar to arrange appointments, meetings, and conferences
  • Maintains, at direction of President, information about Board, Foundation Board and Advisory Board activities including updating board and committees.net website, keeping current the board orientation manual, monitoring and tracking attendance (including absences, late arrivals and early departures).
  • Prepares agenda and collects materials for Board, Foundation Board, Advisory Board and various committee meetings; takes minutes and keeps records of proceedings.
  • Contacts board, Foundation Board and Advisory Board members directly concerning meetings, relaying information from President and others, etc.
  • Enters and maintains corporate contacts information into contact database.
  • Types correspondence, reports, (various) board minutes, etc. for the President and other Executives.
  • Receives information and performs typing, filing, copying of items that are confidential and assures that confidentiality is maintained.
  • Prepares and maintains procedures for effective operation of phone system and copying equipment.
  • Arranges meetings and events for staff, board, and guests
  • Assists with preparation of the office budget and recommends actions to be taken on office expenditures such as equipment and supply needs as well as for employee events.
  • Performs all other duties as assigned.

Knowledge And Skill Requirements

  • High school diploma required.
  • Two years college or completed business school certificate with emphasis on secretarial practices or general business operations preferred.
  • Required three years of responsible office work including one year as a secretary handling confidential information.
  • Requires knowledge of computerized word processing and spreadsheet applications.

Working Conditions

  • In office position
  • $55,000/annual salary
