The Administrative/Customer Service Representative is responsible for providing exceptional customer service and administrative support to ensure the smooth operations of the organization. The Administrative/Customer Service Representative is responsible for providing exceptional customer service and administrative support to ensure the smooth operations of the organization. This position requires excellent communication skills, strong problem-solving abilities, and the ability to handle multiple tasks simultaneously.
- Responsibilities:
- Responsible for scheduling and executing payment disbursements in accordance with payment terms and company policies
- Monitor Account receivables daily to identify outstanding accounts
- Call customers on past due accounts and to encourage timely payments
- Answer incoming calls and direct them to the appropriate department or individual.
- Respond to customer inquiries and resolve issues promptly and efficiently, ensuring customer satisfaction.
- Provide administrative support such as data entry, filing, and document preparation.
- Maintain accurate customer records and update databases as required.
- Coordinate with other departments to ensure seamless communication and collaboration.
- Assist in organizing and coordinating meetings, conferences, and events.
- Generate reports and provide regular updates to management on customer feedback, trends, and suggestions for improvement.
- Stay up-to-date with product knowledge and company policies to provide accurate information to customers.
- Continuously seek ways to improve customer service processes and procedures.
- Performs other tasks as required.
- Basic Computer Skills
- Excellent communication and interpersonal skills
- Strong leadership and team management skills
- Strong problem-solving and decision-making abilities
- Ability to work under pressure and meet tight deadlines.
- High school diploma or equivalent; additional education or certification in customer service or administration is a plus
- Netsuite and Bill.com experience; plus but not required.
- Ability to handle difficult customers and challenging situations with professionalism and patience.
- Strong interpersonal skills and the ability to build rapport with customers and colleagues.
- Must be legally authorized to work in the United States.
