Description

Residential home builder, William Ryan Homes, is looking for an experienced and highly motivated Division Office Assistant. This position is responsible for working with the Division Office Manager to assist the department in meeting current administrative needs.

Job Responsibilities

  • Thoroughly understand all Company and Customer responsibilities of the Purchase Agreement
  • Assist in the execution of all administrative tasks relating to the WRH Business process including creating and maintaining accurate customer files, auditing purchase agreements and addenda for completeness and accuracy, coordinating buyer orientation meetings, and preparing closing documents provided to title companies and lender
  • Assist in preparation of all required reports, data entry into Brix and BuildPro, coding and processing of invoices, researching as needed to confirm accuracy of payment due
  • Maintain office phone, voicemail, and mail systems (i.e. opening and sorting mail)
  • Generate reports for team meetings
  • Data entry of all warranty service requests, management of warranty report, and closing of all tickets in warranty system
  • Continually seek training and cross-train for Starts and Closings administrative tasks to ensure competency in all administrative functions
  • Assist in copying, distributing, and filing documents, as needed
  • Support the Division office facility by maintaining the office supply cabinet, ordering supplies as needed, and assisting in keeping all Division common areas in a neat and orderly fashion
  • Assist in the completion of all required tasks and accumulation of all required documents to obtain a building permit and deliver a complete and accurate start package within the targeted time frame

  • Excellent grammar and verbal communication skills

Required Experience/Education

  • 2 years office experience
  • High School Diploma or equivalent experience
