Basic Purpose

Positions in this job family are assigned duties and responsibilities involving document production and management through a variety of manual or technological processes. This may include preparing correspondence, reports or other documents, maintaining various filing systems, including computer records of various activities, reviewing and processing applications for permits or licenses, assisting agency customers with inquiries or problems concerning an assigned program area, processing various types of claims, requisitions, purchase orders and invoices for payment, and similar duties.

Typical Functions

  • Operate telephone console for 301-bed nursing care facility; answer and direct all incoming and intra-center calls to appropriate personnel for action; overhead page personnel as required using in-house intercom system; take and relay messages as required with no more than 1% of calls requiring redirection due to error.
  • Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data.
  • Assist individuals coming to visit residents/patients; route visitors to proper location and advise department and/or arrange for escort if necessary; always remain courteous and helpful to the degree that no justifiable complaints are received.
  • Produces documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create complex presentations.
  • Type letters, memorandums, forms, and reports as assigned by the Administrative Assistant with no more than 1% requiring retyping/resending due to errors.
  • Assist other departments with various types of typing/filing duties as requested by Assistant Administrator and other duties as assigned.
  • Design and create the slide show each week to be shown on the television located in the Hall of Columns for residents, staff, and visitors to enjoy. Clearing through Administration prior to posting.
  • Enters and retrieves information using personal computer or other data processing equipment and receives and reviews coded and uncoded source documents; proofs previously entered data and makes routine corrections.
  • Examines, checks, and verifies reports and other documents for completeness, appropriateness, adequacy, and conformity to established requirements, and follows up on discrepancies.
  • Assists customers in securing needed information and documents; conducts interviews to obtain information from clients; provides transportation or other assistance to clients as required.

Education And Experience

Education and Experience requirements at this level consist of one year of technical clerical office work; or an equivalent combination of education and experience.

Knowledge, Skills, Abilities, And Competencies

Knowledge, Skills, and Abilities required at this level include knowledge of spelling, punctuation, and business English; of modern office methods and procedures; of the maintenance of complex records; and of the major policies and procedures governing assigned programs. Ability is required to maintain effective working relationships with others; to handle confidential work; to interpret and handle routine matters in accordance with agency policy; and to follow oral and written instructions.
