Position Overview

PEG Companies is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our two Co-CEOs. This role combines traditional executive assistant functions with certain personal assistant responsibilities, ensuring smooth and efficient operations in both professional and personal aspects.

Responsibilities

This position will play a crucial role in proactively anticipating and forecasting the support needs of our two Co-CEOs. Key responsibilities include:

Executive Support

  • Manage and maintain the Co-CEOs' schedules, including appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle incoming and outgoing communications on behalf of the Co-CEOs.

Administrative Tasks

  • Organize and maintain files and records, both physical and digital.
  • Conduct research and compile data to support decision-making and strategic planning.
  • Manage expense reports and budgeting for executive operations.
  • Liaise with internal departments and external partners to ensure seamless communication and collaboration.

Personal Assistant Duties

  • Assist with personal errands and tasks for the Co-CEOs, such as scheduling personal appointments and managing household matters.
  • Coordinate personal travel and event planning.
  • Handle confidential and sensitive information with discretion.

Project Management

  • Assist with special projects and initiatives as directed by the Co-CEOs.
  • Monitor progress and ensure timely completion of projects.

Requirements

Experience:

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Experience supporting senior executives in a fast-paced environment.

Skills

  • Exceptional organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong interpersonal skills and the ability to work effectively with a wide range of stakeholders.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to proactively anticipate needs and priorities.

Education

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.

Physical Requirements

  • Must be able to tolerate prolonged periods of sitting and/or standing at desk.
  • Must be able to operate a computer, telephone, and/or keyboard and tolerate prolonged periods performing work using a computer, telephone, and/or keyboard.
  • Must be able to lift up to 15 pounds at times.
