Under general supervision, the Digital Records Coordinator is responsible for ensuring confidentiality, availability and integrity of the digital records system. This entry-level position provides first tier support of document scanning, filing and image retrieval, as well as performing end-user rights management. Serves as a resource to the department to define and develop solutions while providing superior customer service. ESSENTIAL FUNCTIONS:

  • Provide support on retrieval and delivery of digital copies of documents stored in our document management systems
  • Provide status updates, work plans, written documentation, and training
  • Develop and maintain quality assurance standards to ensure daily, weekly, and month-end functions are completed in an accurate and timely manner
  • Prioritize technical issues and communicate resolution times as needed
  • Maintain the imaging system of organizational documents
  • Maintain Redwood Group uptime standards when working on project conversions and cutovers
  • Maintain quality controls to ensure Business Partners receive the desired finished product
  • Notify management of work affecting incidents in a timely manner
  • Document all new processes and any undocumented process in department Wiki
  • Respond to high priority phone and e-mail requests for document assistance
  • Supply technical support for issues relating to document management system
  • Provide exceptional service to all Members, volunteers, internal employees, and service providers
  • Uphold established department service standards
  • Contact and work with vendors to resolve or enhance current document management systems
  • Document Imaging Creation and Security: 20%
  • Create, delete, and modify all existing and new users daily in Document Management system
  • Maintain log of user ID’s including deletions, additions and changes
  • Setup and maintain user security for Enterprise Workflow
  • Organize surrounding areas and ensure OSHA standards
  • Maintain technical proficiencies to support current and planned hardware and software computing needs
  • Perform other duties as assigned

  • Ability to interact and communicate with outside vendors
  • Ability to work in a fast-paced environment
  • Ability to employ problem solving techniques while being detailed oriented


Physical Requirements:

  • Ability to stand, bend, stoop, sit, walk, twist and turn
  • Ability to lift up to 30 pounds occasionally
  • Ability to use a computer keyboard and calculator
  • Work environment is indoors; majority of the time is spent at a desk. Education/Experience: A combination of education and experience equivalent to a high school diploma and one (1) year of experience working in a digital records environment. Credit Union experience or experience in a closely related field is a plus. Compensation: Base starting range: $24.00 to $30.00 per hour commensurate with experience. Our base salary starting range is based on scope and responsibilities of the position, candidate's work experience, education/training, key skills, and internal peer equity.
