As we enter our busy season, we are seeking a detail-oriented and proactive Accounting Coordinator to join our team. This role is crucial in ensuring smooth financial operations and efficient HR support processes.

Position Overview

As an Administrative Coordinator you will be responsible for managing accounts receivable tasks, supporting our lead services with invoice preparation, onboarding new field technicians, processing HRIS requests, and assisting with payroll functions. Your role will be pivotal in maintaining financial accuracy and ensuring timely payroll processing during peak periods.

Key Responsibilities

  • Accounts Receivable:
  • Assist the lead services with preparation and management of invoices during the busy season.
  • Monitor accounts receivable aging reports and follow up on overdue invoices.
  • Ensure accurate and timely invoicing in accordance with company policies.
  • Onboarding:
  • Facilitate the onboarding process for new field technicians during our hiring season.
  • Coordinate with HR and other departments to ensure a smooth transition for new hires.
  • Prepare and distribute onboarding documentation and training materials.
  • HRIS Processing:
  • Process and manage employee requests and updates in our HRIS system.
  • Maintain accurate employee records and ensure data integrity.
  • Payroll Support:
  • Provide backup support for payroll processing, including data entry and verification.
  • Assist with specialty payroll functions such as prevailing wage calculations and California timesheet processing.
  • Collaborate with the payroll team to resolve any payroll-related issues or discrepancies.


Qualifications

  • Experience: Previous experience in accounts receivable, HR support, or payroll processing is preferred.
  • Skills: Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.
  • Technical Proficiency: Familiarity with HRIS systems, payroll software, and accounting principles.
  • Communication: Excellent verbal and written communication skills.
  • Team Player: Ability to work collaboratively with different departments and team members.
