General Purpose Of The Job

To provide the CEO support by performing a variety of high-level administrative activities, including: strategic calendar management; travel arrangements, meeting planning and support, correspondence, time management, stakeholder management, preparation of reports, and performance of a wide range of critical clerical and management duties.

Responsibilities

  • Plans, coordinates, and ensures the effective and efficient use of the CEO's time.
  • Assists the CEO with a broad variety of administrative tasks that include managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  • Prioritizes conflicting needs, prompt, proactive, and capable of following through on projects to successful completion, often with competing deadlines.
  • Coordinates meetings and strategic activities with the senior leadership team.
  • Assists/supports members of executive team with specific tasks as directed by the CEO.
  • Scheduling of board subcommittee meetings, surveying committee members.
  • Serves as the CEO’s administrative liaison to the Board of Directors and manages Board activities.
  • Coordinates Committee, subcommittee and ad-hoc meetings and maintains confidential files and contact information.

Requirements

  • Five to seven years providing support for C-Level Executives.
  • Proficient in modern office technologies, applications, and tools.
  • Excellent communication and organizational skills with the ability to be proactive to anticipate company needs.
  • Ability to respond to urgent requests and issues that may arise outside of standard business hours.
  • Adept at building knowledge networks.
  • Ability to use sound judgement in decision making, analytical thinking, and strong attention to detail.
  • Proven ability to maintain strict confidentiality and discretion in communicating with others.
  • Performs well under stressful conditions.
