Department Information

The Colorado State University Pueblo Registrar’s Office links the institution with our past, present, and future students. The office is responsible for maintaining the official student academic records of the University. In addition, the Registrar’s Office provides a myriad of academic support services such as: academic record safekeeping, course registration, grade collection and processing, processing individual student course withdrawals, course and room scheduling, transcript delivery, transfer evaluation, degree audits, graduation tracking and clearance, and enrollment and degree verifications in an environment of FERPA compliance. The Registrar’s Office also engages in academic calendar planning, catalog publication, academic policy enforcement, and construction of the course and final exam schedules. Finally, the Registrar’s Office ensures compliance with extant local, state, and federal laws, rules, and regulations. Description Of Job

The Academic Credential Analyst is a full time administrative professional position that acts as part of a team to provide support to students, staff & alumni with the following services:

  • Timely and accurate transfer credit evaluations
  • Assistance with petitioning transfer credits
  • Answering questions regarding transfer equivalencies
  • Auditing student academic records for accuracy and compliance with accreditation mandates
  • Awarding of final credentials such as undergraduate degrees, graduate degrees and certificates
  • Providing information and training to campus for transfer evaluation, petitioning and degree conferral
  • Providing guidance and support on best practices for catalog compliance and University policies
  • Serving as a clearinghouse/reporting entity for degree conferral readiness.

Primary Duties

Complete transfer evaluations for domestic and international student populations. This process includes, but is not limited to, the following:

  • Researching the accreditation, grading system, course level, and degree program contexts for each institution for which a course is being evaluated.
  • Building articulation rules to accurately reflect transferable courses using written procedures and guidelines.
  • Evaluating and producing transfer articulation reports for students within an acceptable time limit.
  • Exporting student transfer evaluations from degree audit system to student information system and posting credits on students’ transcripts, ensuring accuracy at each step in the process.
  • Researching and maintaining transfer articulation rule database with appropriate consultation of Department chairs and/or Deans through a scheduled maintenance calendar.
  • Maintaining a detailed knowledge of degree programs, including requirements, curriculum, policies and procedures, student and faculty accomplishments, and general knowledge about CSU Pueblo.
  • Meeting with prospective and current students, CSU Pueblo faculty and staff, and transfer institutions to provide accurate, detailed information regarding CSU Pueblo, the transfer process, and transfer credit.

Complete degree audits which includes, but is not limited to, the following:

  • Auditing the accuracy of undergraduate and graduate contracts for institutional, major, and minor requirements.
  • Notifying students and faculty of any deficiencies or discrepancies with the contract and degree conferral. If a student does not meet degree requirements, provide notification of the deficiencies with complete consideration given to successful resolution of degree conferral.
  • Upon verifying all requirements have been successfully completed, post the degree to the student’s transcript, and process the diploma.
  • Completing reports of potential graduates for the commencement team.

Process online and paper substitutions, exceptions, petitions, and waivers within the degree audit system and the student information system.

Ensure accuracy of both demographic information and academic transcript information in the student information system and degree audit reporting system.

Perform other duties including, but not limited to, the following:

  • Provide training regarding academic and graduation requirements, and the degree audit system, for students, faculty, and staff.
  • Help to encode, test, and run all aspects of the degree audit.
  • Assist with special projects to enhance the transfer and graduation experience for students.

Audit transfer evaluations, encoding, exceptions, etc. of worked performed by other Academic Credential Analysts and self to reduce mistakes. Maintain knowledge of programs used in the Registrar’s Office, and of related state and federal regulations.

Ancillary Duties

Assist with special projects and events (during or outside of regular work hours) and provide additional support to other areas of the Registrar’s Office as needed.

Salary Range

$44,000 - $50,000

Minimum Qualifications

  • Bachelor's degree from a regionally accredited institution or international equivalent
  • Willing and able to work occasional evening and/or weekend hours as necessary to complete position duties
  • Demonstrated experience in a position that required attention to detail and/or auditing
  • Experience with, or commitment to, relating to and serving diverse populations and learners

Preferred Qualifications

  • Demonstrated excellent written and verbal communication skills
  • Previous experience working in a college Registrar’s office working with UAchieve, Slate, or Banner systems
  • Experience working in degree auditing and using degree audit reporting system software
  • Previous experience working with transfer evaluation, official transcripts, and transfer students
  • Previous experience working with diverse populations
