The Administrative Assistant 3 follows established procedures and guidelines to provide timely and effective administrative support to an office, business unit, department, or other organization. Answers telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately. The Administrative Assistant 3 performs advanced administrative/operational/customer support duties that require independent initiative and judgment. May apply intermediate mathematical skills.

The Administrative Assistant 3 role will be office-based in Federal Way, WA.

The Administrative Assistant 3 Answers telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately. Manages front desk and back-office operations. Performs varied activities and moderately complex administrative/operational/customer support assignments, such as regional onboarding, access requests, and vendor payment distributions. Performs computations, generates presentations, formats reports, and produces job aids. Works on semi-routine assignments and events both virtually and in person.

The Administrative Assistant 3

  • Transcribes, formats, and proofreads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics, and spreadsheet software.
  • Coordinates internal and external meetings across multiple time zones, making travel arrangements, completing expense reports and ensuring that various meeting amenities are available.
  • Manages the appointments and schedules of applicable staff.
  • Uses office equipment such as photocopiers, faxes, and printers.
  • Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.
  • Decisions are typically focused on interpretation of area/department policy and methods for completing assignments.
  • Works within defined parameters to identify work expectations and quality standards, but has some latitude over prioritization/timing, and works under minimal direction.
  • Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion.

Required Qualifications

  • 2 or more years of experience in supporting leadership
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
  • Proficient working in a team-based environment
  • Ability to proofread and edit

  • Capacity to maintain confidentiality
  • Strong organizational skills

Preferred Qualifications

  • Associate’s or Bachelor's Degree
  • Proficient in Microsoft Access and OneNote
  • Previous administrative or related experiences
  • Experience with internet research

Additional Information

  • This role will report to the office in Federal Way, WA Monday – Friday 8:00 a.m. - 5:00 p.m. PST. Hours may vary depending on business needs.

The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.
