Wage range: $70,000+ annually, DOE

Your Impact

The Executive Assistant will provide comprehensive administrative and organizational support to the CEO and SVP of Operations. This key role requires a highly skilled professional who can anticipate needs, manage multiple priorities, and ensure the smooth operation of executive functions. The ideal candidate is resourceful, detail-oriented, and has excellent communication skills.

Key Responsibilities

  • Executive Support: Provide day-to-day administrative support to the CEO and SVP of Operations, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication: Serve as a liaison between executives and internal/external stakeholders, handling confidential information with discretion and professionalism.
  • Meeting Preparation: Prepare agendas, gather materials, and provide necessary follow-up for meetings, including board meetings, leadership team meetings, and client engagements.
  • Project Management: Assist with special projects, coordinating tasks, tracking progress, and ensuring timely completion of initiatives as directed by the CEO and SVP of Operations.
  • Document Management: Draft, review, and edit documents, contracts, presentations, and reports. Maintain organized files and ensure all materials are up-to-date.
  • Event Coordination: Plan and execute internal and external events, including team meetings, client visits, and annual board meetings. Manage logistics and ensure successful outcomes.
  • Office Management: Oversee general office operations, ordering supplies, managing vendor relationships, and ensuring a smooth office environment.
  • Travel Coordination: Organize complex travel for the CEO and SVP of Operations, including flights, accommodations, transportation, and itineraries.
  • Research: Conduct research on various topics and prepare briefings as required to assist executives in decision-making processes.

Requirements

  • Bachelor’s degree or equivalent experience.
  • Minimum of 5 years of experience providing executive-level support, preferably in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Highly organized with exceptional attention to detail.
  • Ability to prioritize and manage multiple tasks under tight deadlines.
  • Discretion and confidentiality in handling sensitive information.
  • Strong problem-solving skills and a proactive approach to work.
  • Experience managing travel arrangements and complex schedules.
  • Ability to work independently as well as collaboratively with teams across the organization.
