The Scheduler is responsible for ensuring client sessions are scheduled and employees are properly assigned in order to maximize therapeutic outcomes. In partnership with Clinical Teams, People Operations, Operations, and the New Client Team, the Scheduler stays abreast of clinic needs to facilitate complete and efficient scheduling processes.

How you will make an impact:

  • Collaborate with the Clinical Team to understand unique client staffing needs
  • Partner with the New Client Team on new learner availability and timelines
  • Monitor and maintain existing learner availability
  • Build and communicate new and existing learner recurring schedules complete with correct CPT coding, as authorized by the funding source
  • Field communication and document pre-planned client cancellations
  • Enforce and communicate attendance policies and procedures
  • Collaborate with the Clinical Team to understand unique staff considerations
  • Coordinate with BT Managers to develop onboarding schedules for new team members
  • Partner with BT Managers to monitor and maximize staff availability
  • Build and communicate new and existing staff recurring schedules
  • Field communication, document, and find coverage for pre-planned staff cancellations
  • Field communication and document unplanned staff and learner cancellations
  • Partner with the Clinical Team to arrange coverage for daily sessions
  • Ensure daily schedule integrity edits from planned to actual
  • Serve as the first point of contact for clients and employees for scheduling changes
  • Maintain professionalism in interactions with employees and clients
  • Engage in active listening and collaborate with all parties to problem-solve scheduling conflicts
  • Coordinate with families and staff to maximize utilization of authorized services
  • Conduct ongoing audits
  • Provide timely and accurate reports, as requested (e.g. cancellation trends, time and attendance trends, and utilization percentages)
  • Maintain customer confidence and protect operations by keeping information confidential in adherence with HIPAA
  • Recommend solutions for process improvements and workflow automation
  • Adhere to company policies and procedures
  • Maintain a safe and health work environment; report unsafe conditions or concerns to management upon discovery
  • Assist with training of employees, as requested
  • Actively participate in meetings, as requested

We are looking for candidates who have:

  • Outstanding communication and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask
  • Proficiency with Google Workspace, Central Reach, Microsoft Excel, and related software
  • High school diploma or equivalent
  • Advanced education, preferred
  • Experience in ABA scheduling, as a dispatcher, or similar field
  • Experience with Central Reach or similar scheduling software
  • Experience with Google Workspace or similar software

Physical Requirements:

  • Must be able to remain in a stationary position for prolonged periods of time
  • Ability to move about inside offices and clinic environments to access equipment
  • Ability to operate a computer and other office productivity equipment including but not limited to printers and copiers
  • Ability to ascend/descend stairs and ladders
  • Ability to communicate information and ideas in a way that others will understand. Must be able to exchange accurate information in these situations
  • Ability to work both remotely and travel to clinic/office sites
