Position Overview

The Administrative Assistant will play a key role in supporting the daily operations of ServiceMaster Restoration by Spotless. This position requires strong organizational skills, the ability to multitask, and a professional demeanor. You will be responsible for providing excellent customer service and administrative support to ensure efficient business operations.

Job Responsibilities

  • Manage and organize daily office operations, including filing, scheduling, and data entry.
  • Answer and route phone calls, emails, and in-person inquiries.
  • Provide support to the management team by preparing documents, reports, and correspondence.
  • Assist with customer intake, follow-ups, and client communication.
  • Coordinate appointments, meetings, and job scheduling for the restoration team.
  • Enter in new job into ServiceMaster platform, captures relevant customer and job information.
  • Help with marketing and social media tasks as needed.
  • Maintain a professional and organized office environment.
  • Follow up with customers after project completion and request Google reviews to help improve our brand awareness.
  • May call customers to collect payments
  • Act as a liaison between clients, adjusters, and the field team to facilitate smooth project completion.


Job Requirements

  • High school diploma/GED required.
  • Positive attitude, attention to detail, and a commitment to providing excellent customer service.
  • Previous administrative assistant experience preferred but not required.
  • Experience and skill with Microsoft Office application (Word, Outlook, PowerPoint, and Excel) required.
  • Comfortable with using multiple types of software.
  • Ability to learn industry-specific software.
  • Excellent verbal and written communication skills.
  • Dependable and adaptable to operate within a fast-paced work environment.
  • Ability to manage highly confidential information.
  • Eager to learn more and take a proactive approach.


Physical Demands and Working Conditions

Incumbent must be prepared to:

  • Move up to 20 pounds occasionally, by lifting, carrying, pushing, pulling, or otherwise repositioning objects.
  • Sitting for long periods of time while using office equipment such as computers, phones etc.
  • Fingering and Repetitive motions; such as movement of wrists, hands and fingers while picking, pinching and typing during your normal working environment.
  • Close visual acuity to perform detail-oriented activities at distances close to the eyes, as well as visual acuity to perform activities such as preparing and analyzing data, viewing computer screen.
  • Be exposed to various inside working conditions: The change of building environment such as with or without air conditioning and heating.
