The Receptionist will greet, assist, tend to phone calls, and provide direction and information to
clients, visitors, and other guests of the organization. Provides secretarial and administrative
support services to the Administration Department.

Duties/Responsibilities
- Direct visitors to the appropriate person and office
- Answer, screen, and forward incoming phone calls
- Expected to be able to place calls on hold, call back any missed calls, call back to ensure customers received a callback, and respond to all voicemails
- Expected to be knowledgeable on all basic operations, being able to answer and inform our visitors on any basic questions they may have
- Communicate with the appropriate member of the team who can help the visitor, ensuring that the visitors’ matters are fully addressed
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
- Update the employee directory in collaboration with the Human Resources department
- Order company office supplies and keep an inventory of stock
- Oversee the Guest Experience Center during events
- Oversee the locker rental for patrons by assigning keys, and lockers, taking payment, and receipt handling, when necessary.
- Maintain lost and found log while collaborating with the 24/7 security team
- Oversee the Visitor/Tour/Room reservations calendar
- Create purchase orders and maintain records for the Administration, Event Services and Safety & Security department.
- Ensure the reception area and Guest Experience Center is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)
- Submit the Guest Experience Report including guest complaints, compliments, areas of opportunity, highlights, and a list of commonly asked questions
- Recommend methods to improve operation process, efficiency, and service to both internal and external customers.
- Performs other related duties as assigned.
- Excellent verbal and written communication skills.
- Excellent interpersonal, negotiation, and conflict-resolution skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Google Workspace and Microsoft Office software.
- Ability to work weekends, evenings, and nights as this position will be required to attend all live and sporting events
- Good interpersonal skills with polite and courteous demeanor toward staff, customers, clients, and visitors to the property.
- High school diploma or equivalent.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Move in a fast-paced environment that will occasionally be loud.
