Position Summary

As Miyoko’s Creamery’s Customer Service Coordinator your passion for building connections and desire to create memorable experiences for consumers, retailers, key stakeholders, will be the foundation of this role. The Customer Service Coordinator role is part of a broader strategy that necessitates close internal partnerships within and across Miyoko’s Sales, Marketing, and Operations teams, encompassing and developing Miyoko’s entire portfolio of cheese, butter, and innovation.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

Input customer orders into NetSuite sent through email and confirm orders with customers within 24 hours.

Process EDI orders, confirm in NetSuite and submit order confirmation via 855 EDI Order Acknowledgement.

Send initial customer communication for inquiries that come in via email and track follow-through.

Create and distribute weekly PO Report.

Pull US Cold Inventory Reporting and cross reference BOL’s to uncover misses.

Manage and handle all customer shipping issues (over & shorts, late deliveries, mis-picks, incorrect BOL’s, UDR’s etc.).

Manage and oversee day-to-day operations with Transportation & EDI Specialty and Logistic, 3PL partners.

Ensure secured transportation for weekly orders to ensure OTIF.

Update and publish shipping status report and send it to stakeholders for execution.

Collaboration with cross-functional areas including customer service, carriers, facilities, and deployment while maintaining the proper professional approach in all interactions.

Take initiative and make decisions independently weighing customer needs, facility requirements, carrier capacity, and escalating as appropriate.

Risk Analysis identification and mitigation.

Build weekly Freight Tenders to Freight Brokerages to ensure shipments are Ship on time and in full.

Complete KeHE 855 RTS requirements on each order.

Exception Management

Prepare ad hoc reports for sales presentations and analysis.

Handle routine questions and problems and maintain open communication with other departments.

Perform administrative duties in support of sales activities.

Manage sales sample inventory and fulfill sample requests.

Provide order confirmation for all orders on the same day.

Excellent attention to detail and ability to perform procedures consistently.

EDUCATION / EXPERIENCE REQUIREMENTS: 

Bachelor's degree (B. A. or B. S.) in Business, Communications, or related field from four-year college or university; or equivalent combination of education and experience.

Ability to organize and manage time efficiently and effectively.

Ability to prioritize and complete tasks in a swift manner.

Ability to prioritize projects to meet multiple deadlines.

Ability to work independently but communicate and escalate problems appropriately.

Ability to work well with internal and external personnel.

Able to monitor and encourage quick and accurate completion of orders.

Able to work flexible hours and be willing to adapt to changes in orders and tasks.

Adept at learning new computer software programs quickly and independently.

Excellent attention to detail and ability to perform procedures consistently.

Excellent verbal and written communication skills.

Basic knowledge of Microsoft Office Suite and intermediate to advanced skills in Outlook, Word, Excel, PowerPoint, and SharePoint preferred.

Must have basic math skills, with a high level of accuracy and attention to numbers, orders and counts.

Previous Sales Experience Preferred, But Not Required.

Resourcefulness and excellent internet research skills.

Self-starter who thrives in a multi-tasking role.

Willingness to learn and accept direction and guidance in a professional manner.
