Job Overview

We are seeking a skilled and proactive Senior Administrative Assistant to provide pivotal support to our VP of Design, Rentals, and two Senior Directors of Experience Design. This role offers a unique opportunity to engage across various departments in a dynamic, fast-paced environment, making it ideal for individuals who thrive on multitasking and organization.

Key Responsibilities

  • Oversee complex scheduling and calendar management for multiple leaders across various time zones.
  • Prioritize and address numerous requests and incoming information with the appropriate level of urgency.
  • Collaborate with senior leadership to ensure alignment of schedules with organizational priorities.
  • Coordinate travel arrangements and manage expense report submissions.
  • Assist in the planning and logistics for meetings, including drafting agendas and compiling presentation materials.
  • Organize details for departmental meetings and events, as well as team morale-building activities.
  • Perform various administrative duties, such as research, filing, and handling miscellaneous responsibilities.
  • Maintain effective communication and relationships across all departments and teams.
  • Manage small to medium-sized projects as required.

Required Skills

  • A minimum of 4 years’ experience supporting multiple executives in a high-tech or start-up environment.
  • Strong attention to detail, with exceptional organizational capabilities.
  • Advanced proficiency in Slack, Microsoft Office (Outlook, Excel, PowerPoint, Word), and G Suite (Sheets, Docs, Forms, Slides).
  • Excellent verbal and written communication skills, complemented by a friendly demeanor.
  • Proactive problem-solving skills, with the ability to anticipate needs effectively.
  • Flexibility to adapt to changes and manage ambiguity in a high-pressure environment.
  • Ability to multitask and work independently while prioritizing tasks efficiently.

Qualifications

  • High level of integrity and professionalism, particularly when handling confidential information.
  • Must be readily accessible and proficient in using technology to enhance efficiency, especially in asynchronous work settings.
  • Willingness to travel up to 25% annually.
  • Availability during core hours of 8 am - 3 pm PDT is highly desired.

Compensation And Benefits

  • Competitive hourly pay range of \(34.30 - \)54.70, specific to California, Colorado, Connecticut, Nevada, New York, and Washington. Actual amounts may vary based on experience, performance, and location.
  • In addition to a competitive salary, this role is eligible for equity awards.
