Job Summary

We are seeking a highly capable Personal Assistant and Project Coordinator to enhance the performance of CEO. In this role, you will assist with a variety of administrative and leadership duties including managing email and mail correspondence, coordinating and scheduling Board meetings, coordinating CEO travel and being the face of the company for public facing events. You may also assist with invoicing, updating files, making travel arrangements, and coordinating catering or other employee engagement activities as assigned.

Essential Duties And Responsibilities

  • Master Scheduler
    • Expertly coordinate and manage appointments and schedules for the CEO as well as coordinating his/her daily calendar and time management activities
  • Administrative Maestro
    • Scan, file, and meticulously organize important documents and records, maintaining a seamless information flow for the CEO
    • Manage the CEO’s workflow including delegation of authority
    • Provide vital administrative support for the CEO including adept email management and work flow for signature management
    • Schedule meetings as needed and keeping the CEO’s calendar and invitations up-to-date
  • Travel Maestro
    • Plan and schedule travel arrangements, ensuring seamless journeys for the CEO with meticulous attention to detail.
    • Manage Expense processing for the CEO
  • Communication Virtuoso
    • Handle phone calls, messages, and correspondence on behalf of the CEO, maintaining professionalism and discretion
  • Project Management | Strategic Support
    • Coordinate and support special projects as assigned such as Board travel, Dealer events and public facing activities
    • Interface with the Board, their designees and ensure smooth arrangements for Board Meetings and calls

  • Excellent interpersonal & communications skills and be able to multi-task;
  • Strong organizational, critical thinking, and interpersonal skills;
  • Excellent and accurate keyboarding and document and information management skills;
  • Can handle confidential and sensitive information with discretion and grace;
  • Ability to plan, prioritize, problem solve, and thrive in a fast-paced environment;
  • Must use time well, be punctual, dependable, and self-sufficient;
  • Strong collaboration, communication, and customer service abilities;
  • Comfortable exercising independent judgment based on best practices;
  • Proficient at: Microsoft Office; Zoom; Concur and other office programs/software;
  • Experience working in a fast-paced work environment;
  • A willingness to learn.
  • Ability to travel occasionally.
  • Ability to coordinate, host and manage off site and after-hour events.

EDUCATION AND EXPEREINCE

  • High school diploma / Associate Degree preferred;
  • Minimum of one (10) years of experience in an administrative support role at least 5 with one company.
