Job Overview

We are seeking a dedicated Contractor Administrative Assistant to join our dynamic agency. In this pivotal role, you will be the first point of contact for our clients and staff, ensuring seamless communication and efficient administrative operations. Your exceptional customer service skills and organizational prowess will contribute significantly to our agency’s success.

Key Responsibilities

  • Manage the main agency phone line with professionalism, ensuring calls are directed to the appropriate personnel or department.
  • Regularly monitor the administrative email inbox for voicemail messages and promptly forward them to relevant staff members.
  • Provide a warm welcome to guests and visitors, assisting them as needed and directing them to the correct staff or department.
  • Maintain and update a comprehensive contact listing for the agency, ensuring accuracy and accessibility for all administrative staff.
  • Notify relevant contacts about incoming package deliveries from courier services.
  • Ensure all three copy rooms are well-stocked with necessary supplies and maintain the functionality of copy machines.
  • Digitize old paper files by scanning them into our electronic document management system.
  • Validate parking tickets through the designated online system when necessary.
  • Submit maintenance requests via the online portal for any reported issues within our agency.
  • Manage and update conference room reservations for the agency using Outlook Calendar.

Required Skills

  • Exemplary customer service and communication skills.
  • Strong organizational capabilities and meticulous attention to detail.
  • Proficiency in Microsoft Teams and Outlook Calendar.
  • Ability to collaborate effectively within a team-oriented environment.
  • Familiarity with office equipment and the process of submitting maintenance requests.

Qualifications

  • Previous experience in administrative support or customer service roles is preferred.
  • Competence in utilizing office software and tools efficiently.
  • A high school diploma or equivalent is required, with additional administrative certifications being advantageous.
