Description

We are seeking an Accounts Payable Specialist on behalf of our client in Cranston, Rhode Island. In this role, you will be responsible for managing vendor transactions, ensuring the accurate and timely processing of invoices, and maintaining organized records of accounts payable.

Responsibilities

  • Facilitate the acquisition and approval of accounts payable transaction documents such as invoices, purchase orders, and packing slips.
  • Ensure accurate data entry of invoices into our accounting software.
  • Maintain an organized system for open and paid invoice files.
  • Take responsibility for processing all assigned vendor statements.
  • Respond promptly and professionally to vendor billing inquiries, providing necessary billing information.
  • Assist in other accounts payable tasks as required, under the guidance of the Accounts Payable Manager.
  • Utilize Microsoft Office Suites for various tasks and communication.
  • Maintain confidentiality and demonstrate decision-making skills.
  • Manage internal and external relationships effectively.
  • Work in a fast-paced, high-volume environment, demonstrating the ability to stay calm under pressure.
  • Utilize analytical skills in the coding and processing of invoices.

The ability to collaborate with team members and handle a high volume of work is essential. Prior experience with large or multiple vendors and a detailed understanding of invoice coding is also required.

Requirements

  • Proficiency in Accounts Payable (AP) operations
  • Familiarity with the construction industry
  • Demonstrated ability to code invoices accurately
  • Strong analytical skills to review and process financial data
  • Excellent communication skills for interacting with vendors and internal teams
  • Proficiency in using Microsoft Office Suites, particularly Excel
  • Ability to handle confidential financial information responsibly
  • Capacity to work both independently and as part of a team
  • Demonstrated ability to meet deadlines in a fast-paced environment
  • Strong organizational skills for managing multiple tasks simultaneously
  • High attention to detail for accurate data entry and reporting
  • Basic understanding of accounting principles
  • Willingness to continuously learn and adapt to new processes and software applications.
