We offer a unique and simplified approach to rapidly develop, demonstrate, and assess prototypes that address a range of operational and installation needs, from individual Warfighter technology to large-scale installation projects. NSTXL supports the delivery of technology to the Department of Defense by serving as a one-stop shop to match government requirements with innovative private-sector and academic solutions.
NSTXL is creating an ecosystem of innovators to collaborate and bring next generation technologies to the end-user. Currently, our OTAs have more than 900 corporate, non-profit, educational, and financial institution members. For these members, NSTXL offers opportunities to bid on government contracts, education and training, and live/virtual forums on a wide variety of topics.
Job Description
The Events Coordinator is a key player on our events team as we design and deliver impactful, valuable programs that exceed the objectives of customers and members. Working directly with team, the Coordinator will support various event initiatives and take ownership of marketing communications, reporting, logistics, and targeted virtual programs for the company’s event portfolio.

Job Description
The Events Coordinator is a key player on our events team as we design and deliver impactful, valuable programs that exceed the objectives of customers and members. Working directly with team, the Coordinator will support various event initiatives and take ownership of marketing communications, reporting, logistics, and targeted virtual programs for the company’s event portfolio.
Responsibilities
- Develop marketing content for the Events function (design and copywriting of event websites and registration pages, emails, paid and organic social, etc.) to promote both NSTXL-hosted and NSTXL-attended events.
- Develop pre- and post-event digital campaigns to key program targets.
- Build and execute email campaigns via HubSpot and our event management software solution, Cvent.
- Make ongoing adjustments to optimize campaigns and a/b test for improved performance.
- Create and manage event postings on NSTXL.org and our Community site.
- Build and deliver campaign reports to internal and external stakeholders
- Assist in creating campaign dashboards and reports in HubSpot and event software.
- Track projects in project management tool (Monday.com.).
- Build and manage lists supporting event strategies.
- Identify and track tradeshow deadlines; register staff; order show services; secure travel accommodations.
- Source and manage inventory for promotional items
- Research and secure venue options for onsite events.
- Host and support virtual events.
- Support Event Director and Event Managers with tasks for larger events as assigned.
- Other related duties as assigned.
- Bachelor’s Degree in Communications, Business, Marketing or equivalent education/experience
- 2+ years of hands-on event logistics experience, copywriting, marketing communications, and reporting
- Understanding of social media platforms, from both a creative and operational perspective
- Excellent planning, organizational, and problem-solving skills to successfully coordinate multiple events and tasks at once
- Ability to adapt to unexpected requests and circumstance
- Ability to communicate and work well with others to ensure strong relationships with our internal and external team members
- Technology skills and confidence necessary to learn unfamiliar programs quickly and efficiently
- Self-motivated and team-oriented, willing to jump in and help when needed on projects
- Ability to take feedback, change direction when needed, and unafraid to ask questions
- Enthusiasm for our mission and vision
- Ability to maintain focus and thrive in a fully-remote work environment
- Event planning and organization
- Registration
- Customer service
- Knowledge of marketing automation, CRM and CMS, such as HubSpot or Sprout
- Certifications, or ability to become certified in, HubSpot and Cvent
- Understanding of social media platforms, from a creative and operational perspective
- Experience with Canva or similar design programs such as Adobe Design is preferred
- Understanding of SEO and how to optimize digital content is preferred
