General Summary/ Overview

Under the direction of Manager, Revenue Cycle Finance, the Vendor Specialist is responsible for the external vendor management overseeing relationships, contracts, amendments and scope of work requests, vendor processes, analysis and invoice submisisons for the MGB Revenue Cycle Operations team.

The ideal candidate will communicate with all business owners in the MGB RCO and collaborate with the strategy and innovation department.

Principal Duties And Responsibilities

  • Be a key business partner to the MGB RCO Leadership team
  • Works closely with operational leaders to develop, recommend and establish strategies, plans and processes to understand and control external vendors
  • Proactively seek opportunities to improve processes and identify areas of improvement, within both own department as well as with corporate stakeholders.
  • Responsible for creating efficiencies, risk mitigation and vendor management
  • Researching and tracking vendor contract terms, alerting staff to renewal deadlines or extensions needed and documenting communications
  • Maintain detailed records of correspondence and documentations of the entire contracting process; tracking and reporting on key projects including post-contract changes, amendments, and SOW fullfilment
  • Develop and maintain vendor/contract management workflows
  • Solve any contract-related problems that arise with guidance from MGB RCO leadership team
  • Present information to key stakeholders about contract-related matters
  • Liaise with other departments across MGB RCO to unify vendor strategy and implementation
  • Other duties and Ad-hoc analysis as required

Qualifications

Education

  • Bachelor of Arts or Science required, preferably Supply Chain Management, marketing, business administration or related field
  • MBA or MPH strongly preferred but not required

Work Experience

  • 3-5 years of vendor management, ideally in a Healthcare setting
  • Excel, PowerPoint, Access, Strata, Workday

Skills/Abilities/Competencies

  • Demonstrate their effectiveness in working in complex and dynamic environments and with complex systems.
  • Facilitate successful communication with all levels of clinical and administrative staff.
  • Motivated self-starter with an extreme attention to detail and data accuracy.
  • Willing and able to take initiative in all areas with little or no direction
  • Proven track record working with individuals at various levels of the organization
  • Proven analytical aptitude, with the ability to create/extract/manipulate/analyze large amounts of complex financial and operational data
  • Strong management, problem-solving and organization skills
  • Project management experience, with an ability to manage several projects simultaneously.
  • Ability to work with and learn multiple reporting systems
  • Excellent communication and presentation skills both written and verbal with ability adjust to audience
  • Ability to build collaboration across the organization

Supervisory Responsibilities

  • No direct reports

Fiscal Responsibility

  • Oversees vendors for the MGB RCO a $200+ million-dollar department
  • Demonstrates fiscal responsibility by effectively using Mass General Brigham resources

  • This position is currently remote, though the individual may be required, on occasion, to travel into the office or Mass General Brigham sites due to business needs (travel will be reimbursed per MGB policy).
  • Hospital work environment working conditions include possible exposure to diseases or infections and may require safety gear (PPE) such as gloves and mask.
  • Normal office working conditions. The noise level in the work environment is quiet to moderate.
  • While performing the duties of this job, the employee is frequently required to sit; talk; or hear; use hands to finger; handle; or feel; reach with hands and arms. The employee is occasionally required to stand; walk; and stoop; kneel; or crouch. The employee must frequently lift and/or move up to 5 pounds and occasionally lift and/or move up to 20 pounds.
