Position Overview: Reporting to the Dean of Library Services, the Library Assistant 3 is a dynamic and multifaceted role that combines public desk customer service with divisional administrative support. This position is critical in delivering top-tier library and campus information services to a diverse population of students, faculty, staff, and community members through various communication channels, including in-person interactions, phone, and email.
Key Responsibilities
Holistic Student Support:
- Actively engage with patrons at the Library’s Service Desk for 8-10 hours weekly, with the potential for additional hours during staff outages, which may include nights and weekends.
- Execute routine circulation desk activities such as checking materials in and out, processing renewals, placing holds, and managing patron registrations using the Library’s automated circulation system, ALMA.
- Assist patrons with library catalog and database searches, directional campus inquiries, copier and printing assistance to ensure a seamless and efficient experience.
- Provide individualized assistance at the point-of-need to students, faculty, staff, and community members in person, on the phone, and through email.
- Efficiently manage Library Service Desk reporting functions using ALMA, including circulation email management (e.g., sending out hold and overdue notices), updating and checking Service Desk voicemail, and posting hour changes on the library’s website to keep the community informed.
- Actively participate in the Student Supervisors Committee to hire, train, and supervise student workers, ensuring they are well-equipped to support library operations.
- Provide on-demand support and guidance through various mediums to students, faculty, staff, and community members, fostering a supportive learning environment.
- Serve as the editor of the internal Service Desk Libguide to ensure that Service Desk staff and students are informed about changes and new procedures.
- Collaborate with the Student Supervisors Committee to create and distribute orientation materials to new and returning student employees through the eLearn platform.
- Maintain the library's emergency procedures manual and coordinate emergency response efforts in collaboration with Campus Police and Campus Safety offices.
- Create and maintain documents related to circulation functions, including end-of-semester student and community patron account hold lists, entering amounts owed for overdue materials through Banner, notifying the Bursar of returns or payments, and generating monthly statistical reports.
- Actively participate in the library budget committee, assisting in the development and monitoring of budgetary proposals and the preparation of annual operating budgets.
- Submit and process requisitions through SciQuest and approve purchase orders for payment of received goods and services.
- Provide routine and complex reports by researching, compiling, and reconciling information for various reports (e.g., IPEDS, ACRL) using a variety of library and campus sytems.
- Prepare staff reimbursements and complete personnel forms for new hires.
- Process and maintain payroll for staff and student workers each pay cycle and manage personnel files for full-time, part-time, and student employees.
- Dedication to creating a welcoming and safe environment for all who enter the library.
- Assist in the hiring, training, and supervising a diverse cadre of student workers with the assistance of the Student Supervisor’s committee.
- Communicate professionally with outside vendors to resolve issues with orders, equipment, subscriptions, or services.
- High School Diploma or equivalent
- Excellent interpersonal skills, including flexibility, enthusiasm, confidentiality, and open-mindedness.
- Ability to establish and maintain effective working relationships in a collaborative and diverse environment.
- Demonstrated proficiency with standard office information technology applications.
- One year of full-time experience as an administrative or library assistant in an academic library setting, especially in public services.
- Familiarity with the Library of Congress Classification System
- Experience working in an academic setting.
- Working knowledge of specialized library software and systems that support library services, including Integrated Library Systems and other management software used in academic or research settings.
- Ability to learn new technologies.
- Strong attention to detail and organizational skills.
- Excellent oral and written communication skills.
- Exceptional interpersonal and customer service skills.
- Ability to work with the public in a fast-paced environment.
- Dependability and commitment to teamwork, internal to the library and on library and campus committees.
- Dedication to providing outstanding customer service to a diverse clientele.
- Prior experience working in a library setting.
- Work is performed in a library/office environment and onsite for various events.
- Regularly required to sit, walk, stand, talk, and hear; use hands repetitively to operate standard office equipment; and reach with hands and arms.
- Ability to lift books onto carts and shelves.
- Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
- Regularly required to use written and oral communication skills, read and interpret data, analyze and solve complex problems, use mathematical reasoning, observe and interpret situations, learn and apply new information, and perform detailed work on multiple concurrent tasks.
