We are offering a contract to hire employment opportunity for an Administrative Assistant in the non-profit sector based in Hempstead, New York. This role is integral to our team as it involves providing administrative support, processing donations, preparing reports, and managing communication channels.
Responsibilities
- Provide administrative support to the team, including scheduling appointments and maintaining organized records.
- Handle inbound and outbound calls, answering queries and directing calls as necessary.
- Enter donation information accurately into the database and maintain detailed records.
- Prepare and submit monthly reports and statistical data for various stakeholders.
- Attend committee meetings, prepare recommendations, and manage incident/accident reports.
- Manage the receipt and distribution of monetary donations.
- Handle customer service tasks, including resolving inquiries and managing email correspondence.
- Use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to prepare documents, reports, and presentations.
- Conduct data entry tasks as required, ensuring accuracy and timeliness.
- Perform other administrative duties as required, including ordering supplies and scheduling drills.
- Minimum of 2 years of experience in an administrative role within a non-profit organization
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience in managing inbound and outbound calls
- Excellent customer service skills and ability to interact with various stakeholders
- Proficient in data entry tasks and maintaining databases
- Experience in managing email correspondence professionally and effectively
- Ability to schedule appointments and manage calendars
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- High attention to detail and problem-solving skills
- Experience in a fast-paced, deadline-driven environment
- Willingness to learn and adapt to new processes and systems.
