Coordinator of Undergraduate Affairs and Special Projects (Administrative Professional 1 – MR10)

The Coordinator of Undergraduate Affairs and Special Projects serves as primary support for academic affairs projects. The position provides coordination for the many programs, initiatives, and community partnerships that come to Academic Affairs, handles a wide range of matters that support academic and student success, and provides significant oversight of office operations, including support for community partners on campus, student workers, and volunteers for undergraduate affairs. This includes providing confidential counsel on behalf of Academic Affairs in a manner reflecting the campus' mission, goals, values, and priorities.
The Coordinator of Undergraduate Affairs and Special Projects manages and advises the Vice Provost for Undergraduate Affairs on special projects and day-to-day operations ensuring efficiency and effectiveness and optimizes use of available resources. The position helps ensure linkages with campus constituents, support staff, as well as project stakeholders off campus. The Coordinator of Undergraduate Affairs and Special Projects maintains oversight for multiple ongoing projects supporting the Vice Provost for Undergraduate Affairs and academic affairs projects that support the Provost's agenda to ensure that all are effectively moving according to plan.
Duties And Responsibilities
Leadership, Management, Administration, and Planning
Serves as the principal support to the Vice Provost for Undergraduate Affairs and community/academic projects, handling matters of institutional importance on behalf of the Academic Affairs as requested and as appropriate; contributes professional expertise to projects and programs to University High, undergraduate initiatives, and other duties as assigned; coordinates support for Vice Provost for Undergraduate Affairs and academic projects; analyzes and interprets data, identifies areas of concern, and recognizes when there is a problem related to major Academic Affairs initiatives; and assists the Vice Provost for Undergraduate Affairs on community/academic projects in the development and monitoring of the campus strategic plan that align with Academic Affairs.
Liaison
Ensures the adequate flow of information within Academic Affairs to help maintain cohesive and effective teamwork; ensures regular flow of communication from Provost to Vice Provost; be an important link between Vice Provost for Undergraduate Affairs and academic projects to campus groups, individual stakeholders, including standing and ad hoc committees, dual enrollment, strategic planning work groups, search committees, etc., ensuring regular flow of information within Academic Affairs.
Works closely with Vice Provost for Undergraduate Affairs and academic projects to ensure effective strategic communications; be a local liaison with community and campus stakeholders for undergraduate affairs initiatives; analysis and judgment in alignment with broad principles, practices, and professional standards within Academic Affairs; and understands government and granting agency regulations from the state of Tennessee associated with priority areas in Academic Affairs.
Planning and Special Projects
Staffs and manages special projects as assigned; supports the engagement of Vice Provost for Undergraduate Affairs with academic projects on campus development initiatives, in collaboration with other academic and student success offices; addresses problems that come to the Academic Affairs, including directing faculty, students, staff, and other stakeholders to the appropriate administrator or office for resolution; schedules and staffs committees appointed by the Vice Provost for Undergraduate Affairs and community/academic projects; and prepares for, attends, and ensures follow-ups for all meetings.
General Responsibilities
Assists with managing calendars for Vice Provost for Undergraduate Affairs and staff; assists with the planning and coordination of meetings and programs; assists with the creation of hard and soft copy files; assists the Vice Provost of Undergraduate Affairs on special projects in communications around programs/event management including timelines, calendars, reports, diagrams, surveys; attends and contributes ideas to program planning meetings; works with staff and volunteers on event day to ensure the event’s success; assists with the development and maintenance of mailing, media and guests lists for programs and projects in Academic Affairs; assists with answering phones and transferring calls to appropriate staff; and other duties as assigned.
The Ideal Candidate Will Possess The Following
Minimum qualifications: Bachelor’s degree in Business/Management, Communication, Education, Psychology, or related field and 3+ years of experience supporting administrator(s), coordinating projects, staffing committees, and serving as a liaison for major campus initiatives.
Preferred qualifications: 3 years of experience working in higher ed administration; ability to understand, resolve, and mitigate complex, sometimes conflicting issues; ability to manage conflict; and experience with Banner, IRIS, Payroll, Concur, Transfer Voucher, Aramark, Evaluation and Entry of Prior Learning Assessment
