Postion Summary

The purpose of this position is to take and direct all incoming calls, greeting and/or directing family members and visitors as well as providing secretarial assistance to residents and other management personnel. Some typing and general clerical duties required.

Education, Experience, And/Or Special Skills

  • High school diploma or equivalent.
  • Have at least one year secretarial experience.
  • Ability to use computer; ability to work in a high client contact area.

Job Duties

  • Assists residents with general information as needed
  • Answers all incoming calls and directs the calls to the proper telephone station or person
  • Assist with clerical/administrative or other special assignments as designated by management.
  • Performs some secretarial duties such as typing, computer input, filing, etc. as requested by management.
  • Sorts, logs, and files all incoming mail and contact appropriate resident promptly.
  • Provides on-site immediate response to those prospective residents or family members who come in the Community for information.
  • Maintains confidentiality of resident and family information.
  • Reports all residents' concern to the Executive Director.
  • Demonstrates effective verbal and written communication skills.
  • Demonstrates ability to utilize independent and effective clinical judgment, problem solving and decision making skills.
  • Prioritizes and manages time effectively.
  • Ability to function effectively in multi-faceted systems and to interact effectively with all levels of staff and customers.
  • Strong organizational skills and analytical skills
  • Seek out opportunities to help rather than waiting to be asked
  • Performs all other duties as assigned by immediate supervisor or other management personnel.
