About The Role
Under the direction of the Clinic Manager RN, the Clinic Scheduler is responsible for scheduling in-house and external referral appointments, ensuring streamlined access to provider network services and ongoing advocacy for timely speciality care coordination.

About The Role
Under the direction of the Clinic Manager RN, the Clinic Scheduler is responsible for scheduling in-house and external referral appointments, ensuring streamlined access to provider network services and ongoing advocacy for timely speciality care coordination.
Responsibilities
- Schedules external and internal referral appointments for participants according to scheduling policies and procedures.
- Prepares and submits authorization paperwork to external and internal provider specialists.
- Coordinates escort, interpreter, and nutrition services as needed.
- Communicates appointment and transportation coordination details to participants and/or caregivers.
- Improves participant satisfaction and the participant experience with optimized efforts to accommodate participant scheduling preferences.
- Maintains complete medical records , documenting all scheduling and monitoring activity in the participant’s electronic health record , including communication with provider offices, participants or other persons involved with appointment coordination.
- Assists Clinic Manager to prepare and distribute Orders Tracking Report to internal stakeholders, alerting IDT to issues that impede timely effectuation of services.
- Meets with ordering primary care provider to review appointment statuses, collaborating on follow-up response to participant as needed (e.g. rescheduling, PCP order cancellation, “no show” letters to participant etc.).
- Troubleshoot scheduling conflicts or urgent needs, ensuring that appointments are scheduled promptly and efficiently.
- Provide clear communication regarding future and past appointments to the Primary Care Provider and IDT team, advocating for participants' specialty care needs.
- Performs administrative / clerical duties as needed. Answers incoming phone calls, emails, and requests related to scheduling and appointments, providing prompt and accurate assistance.
- High School graduate or GED equivalent required.
- Minimum of two years' experience in a medical or clinical field, preferably with experience in referrals/authorizations and Electronic Health Systems (EHR).
- Demonstrated excellent communication skills, both written and verbal.
- BLS certificate required.
- Fluency in English, Mandarin and Cantonese strongly preferred.
- Los Angeles required. Ability to commute to Alhambra required.
