The Highlands Ranch Metro District is accepting applications for a full-time Operations Assistant for the Parks, Recreation and Open Space department. This business support specialist performs a variety of routine and complex clerical, administrative, and technical work in the administration of the Metro District. Essential Duties And Responsibilities

  • Responsible for all phases of the employee and volunteer uniforms for the Highlands Ranch Mansion, Highlands Ranch Metro District Board Members, and Highlands Ranch Metro District employees including facilitating the bid process, identifying, and selecting uniform pieces, embroidery, and screen-printing requirements. Coordinates employee order selection process, including managing and tracking section and employee-specific budgets. Distributes employee uniforms and receives and manages the inventory of returned items upon separation. Manages inventory and distribution of recycled uniform pieces.
  • Responsible for taking the minutes at Ranger and Safety Committee meetings.
  • Provides administrative support to staff for correspondence, reports, and presentation materials.
  • Track retail uniform purchases made outside the semi-annual uniform ordering cycle.
  • Order, distribute, and track uniforms used for the PROS seasonal workforce.
  • Prepares monthly uniform budget reports to PROS supervisors.
  • Order, distribute, and maintain stock of safety vests, hoodies, jackets, safari sun hats, heated gloves, and socks charged to the safety budget for field employee use.
  • Responsible for the preparation of monthly water usage reports for the Parkways and Park Maintenance departments.
  • Maintain and update the Front Desk Information tool to ensure efficient access to clear instructions supporting all administrative procedures.
  • Responsible for processing all purchase requisitions, per Finance instructions, for the PROS Department and providing GL account information to managers and supervisors when requested.
  • Responsible for lost and found items turned into the PROS office and donation of items that have been left after 30 days.
  • Research location information and process Colorado 811 locate requests for residential requests.
  • Process monthly UNCC payments for the Colorado 811 program.
  • Assist the Office Manager and PROS Director with special projects, as assigned.
  • Assist departments with purchases through the Metro District Amazon account as needed.
  • Assists Recreation Services by providing recreation program information over the phone or in person.
  • Serves as a backup for the receptionist when necessary. This includes answering incoming calls and greeting walk-in customers, consultants, and guests.
  • Attending training sessions related to administrative responsibilities.
  • Provide technical support such as creating fillable .pdf forms, documents, spreadsheets, and workbooks for sections as needed.
  • Process all vehicle Access Permit applications for events held at parks and shelters.
  • Maintain a clean environment throughout PROS Service Center employee workspaces, such as providing daily cleaning of the coffee bar, kitchen, and copy area as needed.
  • Ability to create work orders through Asset Essentials asset management software appropriate for the position.
  • Completes assigned work orders or submits work order requests on behalf of residents.
  • May be asked to provide back-up administrative tasks on behalf of the Office Manager.

SUPERVISION RECEIVED

Works under the general supervision of the Department’s Office Manager.

SUPERVISION EXERCISED

None generally. May provide direction to temporary staff or volunteers on specific projects or tasks as assigned.

PERIPHERAL DUTIES

Represent Admin Section on employee committees as assigned, contributing skills, and supporting administrative committee needs such as taking minutes. Attend other section meetings as assigned, providing administrative support such as completing minutes for the weekly/bi-weekly Ranger meetings.

Desired Minimum Qualifications

Education and Experience:

  • Graduation from a high school or GED equivalent with specialized course work in general office practices, and
  • Two to four years of related office and computer experience, or
  • Any equivalent combination of education and training with additional work experience substituting for required education.

Necessary Knowledge, Skills, And Abilities

  • Excellent customer service skills (internal and external)
  • Ability to take full responsibility for complex projects and drive them to completion
  • Attention to detail in handling particulars of each project.
  • Microsoft programs: Outlook, Word, Excel, and PowerPoint, and working knowledge of Adobe Acrobat.
  • Working knowledge of the principles and practices of administrative support; working knowledge of purchasing, receiving, and inventory procedures.
  • Skill in operation maintenance and support of listed equipment: computers, printers, network devices, and communications equipment.
  • Accurately record and maintain documentation.
  • Ability to establish and maintain effective working relationships with employees, supervisors, other departments, officials, and the public.
  • Communicate effectively verbally and in writing using proper terminology, grammar, and spelling.

Special Requirements

Current CPR / First Aid / AED training certification or acquire within one year.

TOOLS AND EQUIPMENT USED

Personal computer, Microsoft Windows 10 Pro, Adobe Acrobat 2020, Microsoft programs: Outlook, Word, Excel, and PowerPoint, web and database software, multi-line phone, multi-function printer/copier/scanner and other general office or kitchen equipment.

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORK SCHEDULE

Generally, works between 8:00 a.m. and 5:00 p.m., Monday through Friday. Covers the front desk during lunches and breaks as the primary back-up to the Receptionist. The work schedule will vary depending on weather conditions, projects, events, programs, meetings, and staffing levels, and may include evening and weekend hours. Regular and predictable attendance is an essential function of the job.
