Description

The Operations Coordinator will play a pivotal role in facilitating seamless experiences for both employees and clients in onboarding, offboarding, and through the activities and upkeep of Hawke’s Santa Monica workplace environment. This position will work closely with Hawke Media’s operations team (Sales, Services, Finance, People, and General Ops) as well as leadership from across the organization to ensure processes are set up, adhered to, and continuously improved upon with the ultimate goal of improving client and employee relationships.

Responsibilities

Client Onboarding

  • Facilitate seamless onboarding processes for clients
  • Schedule and coordinate client orientation calls, ensuring that all necessary parties are involved and well-prepared
  • Ensure client information is properly set up in Hawke’s CRM, PM, and communication tools
  • Keep client onboarding resources up-to-date and easy to access Client Offboarding
  • Offboard clients from Hawke’s CRM, PM and other Communication tools when engagements come to an end
  • Ensure that client files are properly handled throughout offboarding

General Service Operations

  • Assist with facilitating steps related to team member transitions on client accounts
  • Coordinate client gifting
  • Assist with other ad-hoc projects related to service operations, such as platform changes, reporting, and acquisition integration

Workplace Operations

  • Coordinate incoming and outgoing mail & deliveries
  • Keep supplies stocked and properly organized
  • Maintain presence for incoming guests
  • Optimize workspace usage and layout
  • Assist with team and seasonal events
  • Coordinate with office vendors as needed
  • Coordinate office communications

Qualifications

  • 1+ years of relevant work experience, ideally in a customer service role
  • Ability to communicate professionally both internally and externally
  • High degree of personal organization skills
  • Familiarity with Hubspot, Project Management Tools, Notion, Slack, and Google Drive is a plus
  • Project experience preferred
