Kinwell is hiring a Patient Care Coordinator to join our clinic in Renton, Washington. As a Patient Care Coordinator, your primary role is responsible for overseeing all aspects of patient greeting, check-in, and check-out processes. Key responsibilities include preparing patient charts for daily appointments, managing the appointment scheduling system, and maintaining a clean, well-stocked patient reception and waiting area. The role also involves communicating patient arrival times to the appropriate team members and assisting with check-outs and follow-up appointments. Additionally, this position supports patients by initiating routine referrals and ensuring a smooth transition between appointments and subsequent care. Lastly, this position provides phone support for Kinwell's Call Center as needed, submits Health Information Management (HIM) requests and manages faxed documents sent to Kinwell.

What You'll Do

  • Greet patients and visitors and directs them accordingly.
  • Schedule new patient and follow-up appointments.
  • Obtain insurance authorization to process patients for services needed.
  • Collect and process copays as appropriate.
  • Assist patient with check-in process and complete their portion of patient history in the EMR.
  • Answer incoming phone calls and assist callers or direct calls accordingly.
  • Communicate status of all patients and requests to clinical staff, physicians, or center manager to ensure continuous operation of center.
  • Proficient in use of the EMR and/or a willingness to develop proficiency.
  • Manage the clinic and clinician schedules to maximize efficiency.
  • Assist with referrals for assigned center and up to 2 additional centers managing remotely.
  • Follow HIPAA guidelines and safety rules as outlined in training.
  • Attend and participate in team huddles, center staff meetings, ongoing training.
  • Perform all duties to achieve or exceed established and desired service standards and create a delightful patient experience before, during and after the visit.
  • Assist Medical Assistants with any administrative or legal chart requests from patients, lawyers or TPA’s.
  • Perform other duties as assigned.

What You'll Bring

  • H.S. Diploma or GED (required).
  • Associate degree and 3 years or 5 years of prior medical practice experience (required).
  • Experience in a customer service environment (required).
  • Demonstrated intermediate knowledge of PC’s, word processing, data entry and EMRs (required).
  • Current BLS certification from American Heart Association (AHA) or Military Training Network (MTN) is strongly preferred.
  • Excellent critical thinking, flexibility, problem-solving and communication skills.
  • An interest in growing and developing skill and knowledge to be able to take on larger tasks or roles.
  • Experience using EPIC.

Vaccine Requirement

Kinwell currently requires all teammates to provide proof of or complete a written attestation of a religious or medical exemption for influenza, COVID-19, and Hepatitis B vaccines. Healthcare providers may also be subject to CDC recommended vaccines.

Working Environment

  • Work is performed within a clinical setting with frequent patient interactions.
  • Standard office conditions with frequent use of computer, phone and medical record systems.

Physical Requirements

The following have been identified as essential physical requirements of this job and must be performed with or without accommodation:

  • Ability to sit for long periods while working at a computer.
  • Occasional lifting of office supplies and medical documents (up to 20 pounds).
  • Ability to move around the clinic to assist patients and medical staff as needed.
  • Manual dexterity for data entry and use of office equipment.

National Plus Salary Range

$48,500.00 - $72,800.00

  • National Plus salary range is used in higher cost of labor markets including Western Washington and Alaska.
