Job Summary
The Administrative Manager Performs a broad set of support tasks, coordinating personnel and managing logistics to ensure integrity and successful execution of the organization’s general operational efforts. Provides administrative support for top level executives including, but not limited to general administrative activities, organizing information, coordinating meetings, coordinating personnel as requested, generating reports, general logistics and general problem solving. Manages administrative personnel and activity withing the Administration Department. Provides inter-departmental support to assist in ensuring departments and departmental personnel operate effectively.
Job Responsibilities
The Administrative Manager Performs a broad set of support tasks, coordinating personnel and managing logistics to ensure integrity and successful execution of the organization’s general operational efforts. Provides administrative support for top level executives including, but not limited to general administrative activities, organizing information, coordinating meetings, coordinating personnel as requested, generating reports, general logistics and general problem solving. Manages administrative personnel and activity withing the Administration Department. Provides inter-departmental support to assist in ensuring departments and departmental personnel operate effectively.
Job Responsibilities
- Assists as necessary to ensure administrative tasks are addressed within the Administration Department.
- Assists as necessary with M1 Signature Events including, but not limited to, M1 Momentum Magazine Mailings.
- Assists Chief Executive Officer with ad hoc requests and general operational problem solving.
- Assists Chief Executive Officer with project coordination, meeting coordination, communication and reporting.
- Assists organizational executives with project coordination, meeting coordination, communication and reporting.
- Assists organizational executives, as requested, with ad hoc requests and general operational problem solving.
- Collaborates inter-departmentally – as needed - to promote operational objectives to organizational expectations.
- Collaborates within the department to promote operational objectives to organizational expectations.
- Communicates and promotes effective collaboration with third party vendors as needed and assigned.
- Communicates as the assigned liaise between organizational leadership and the organization’s charitable foundations, initiatives and efforts.
- Facilitates contract management activities as needed and assigned.
- Manages a variety of access and security systems including, but not limited to, Butterfly MX App.
- Monitors and provides administrative support to accounting systems as requested and assigned.
- Monitors and provides administrative support to budget management functions as requested and assigned.
- Monitors and provides administrative support to expense reporting systems as requested and assigned.
- Monitors and provides administrative support to human resource systems as requested and assigned.
- Monitors and provides administrative support to payroll systems as requested and assigned.
- Monitors and provides administrative support to treasury functions as requested and assigned.
- Presents professionally and represents the M1 Concourse at the highest levels.
- Provides assistance to clients as they arrive in a professional and courteous manner.
- Provides general administrative support to organizational departments as needs, assigned and approved.
- Provides general administrative support to organizational executives.
- Provides the full spectrum of administrative support to the Chief Executive Officer.
- Supports the various administrative needs of the organization’s departments.
- All other duties as may be required and assigned.
- Experience and Education
- 3+ Years of Advanced Administrative Support Experience
- 3+ Years of Supervisory Experience
- Bachelor’s Degree in Business Related Subject Matter - preferred
- General
- Advanced Knowledge and Proficiency of Management Systems and Procedures
- Advanced Knowledge and Proficiency of Microsoft Office
- Basic Knowledge of Accounting, Bookkeeping and Payroll
- Basic Knowledge of Human Resource Management
