Brief Description

Vitalant is hiring an Executive Assistant - Executive Leadership Team to provide essential support to the CEO and the President of the Foundation, contributing to our mission of saving and improving lives. In this pivotal role, you’ll manage sensitive and confidential matters with discretion, serving as a key liaison to the Board of Trustees.

With the ability to juggle multiple priorities, you’ll anticipate the needs of executive leadership, coordinating and streamlining communications while fostering strong relationships with internal and external leaders. Representing Vitalant’s Executive Leadership in a professional, positive manner, you’ll play a crucial role in ensuring the smooth and efficient operation of our leadership team.

As an Executive Assistant, Executive Leadership Team, you'll get to:

  • Manage schedules for the CEO and Foundation President, coordinating daily and long-term meetings and priorities.
  • Provide executive-level administrative support by handling requests, resolving inquiries, and performing clerical duties.
  • Coordinate travel and events for the CEO, Foundation President, and Board of Trustees, managing logistics and materials.
  • Assist with board activities, including recording meeting minutes and supporting the Chief Legal Officer.
  • Prepare and modify documents such as correspondence, presentations, and reports.
  • Maintain distribution lists for accurate communications across teams.
  • Track expense reports and reconcile receipts for the CEO and Foundation President.
  • Plan and execute special projects, including events and team-building activities, while managing high-level external relationships.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience required.
  • Notary Public preferred.
  • Minimum five years in senior business or high-level administrative support, with experience supporting executives preferred.
  • Exceptional communication skills with a professional demeanor, ensuring discretion and confidentiality when interacting with internal and external stakeholders.
  • High level proficiency in computer and software skills (Microsoft Word, Excel, PowerPoint, Outlook and Concur.
  • Experience managing video conferencing (Microsoft Teams, Zoom and BoardEffect).
  • Ability to travel, as needed, to attend out-of-state meetings (anticipated not to exceed 10%).
