We are currently seeking a highly motivated and detail-oriented individual to join our team as a Program Administrator. This role presents an exciting opportunity for someone passionate about the community and seeking to make a positive impact. Responsibilities:
Grant and Program Administration
Assist in the lifecycle management of grants, including implementation, monitoring, and closeout. Ensure compliance with grantor guidelines and regulations.
Create reporting templates and develop streamlined processes for grant partner data collection using Monday.com. Create reporting manuals for grant partners.
Maintain comprehensive records of all grants and programs, including financial reports/invoices, progress reports, and compliance documents. Draft and submit progress reports to funders.
Work closely with the finance department to monitor grant budgets, expenditures, and financial reporting. Ensure the efficient allocation and use of grant funds.
Support and Coordination
Act as a liaison between the organization, funders, and community partners. Maintain and foster positive relationships with all stakeholders.
Represent the department at meetings and events to build positive connections. Build partnerships to ensure alignment with organizational goals and support program success.
Provide administrative and logistical support to program managers and project teams. Coordinate project activities to ensure timely completion and success.
Offer thorough administrative assistance to ensure efficient daily operations, including scheduling, file management, and office coordination. Evaluate current processes and lead initiatives to optimize workflows. Implement new project management tools or methodologies to enhance efficiency and project outcomes.
Plan, coordinate, implement, and monitor assigned tasks to meet objectives, timelines, and compliance standards. Execute all assigned tasks to accommodate client needs while adapting to changing priorities. Act as the primary contact for assigned projects, managing stakeholder coordination, resources, and issue resolution. Ensure goals and deliverables are met with quality and efficiency.
Plan, organize, and lead community outreach events to promote program awareness, engage stakeholders, and gather community input. Coordinate event logistics, including scheduling, securing venues, managing RSVPs, and providing follow-up communications. Ensure events are inclusive and accessible for all participants.
Proposal Development
Research and identify new RFP opportunities to expand program funding and support organizational growth.
Complete required forms and documentation for proposal submissions. Compile necessary information and documentation from internal teams for submissions.
Develop detailed fee proposals that accurately reflect project scope, budget, and organizational capacity.
