We are seeking a dedicated and experienced Fleet Manager to oversee the operation, maintenance, and regulatory compliance for our fleet of 75 diesel trucks and trailers. This role includes managing preventive maintenance programs and schedules, ensuring optimal vehicle performance. The Fleet Manager will be responsible for identifying opportunities to reduce operational costs, optimizing fuel efficiency, managing repairs, and implementing cost-effective fleet utilization strategies. The Fleet Manager will also develop and maintain standard operating procedures for fleet operations. Position is based out of our Lawrence, Kansas facility. Minimal in-state travel (15%) is required.

- Maintain up-to-date knowledge of OSHA, DOT, and FMSCA regulations and ensure compliance.
- Conduct regular safety inspection audits and training for drivers and managers.
- Address violations or safety issues promptly and implement corrective actions.
- Ensure vehicle/trailer registrations and insurance are maintained and up to date.
- Oversee in-house or outsourced repair services and preventive maintenance.
- Review and approval of all repairs and maintenance estimates.
- Develop and implement a comprehensive preventive maintenance program, including inspections, diagnostics, and repairs to extend vehicle lifespan.
- Maintain accurate records of all maintenance and repairs, including service history, parts replacement, and incident reports.
- Conduct regular safety inspections to ensure regulatory compliance with federal, state, and local regulations regarding safety, emissions, and roadworthiness.
- Generate reports on fleet performance, maintenance costs, and downtime.
- Identify patterns and trends in maintenance needs, repairs, and fleet utilization to improve operational efficiency.
- Track and analyze fleet performance metrics, preparing regular reports on fuel efficiency, maintenance costs, and vehicle utilization.
- Use fleet management software to optimize routes, monitor vehicle locations, and track maintenance schedules.
- Standardize documentation and reporting across the fleet to improve accuracy and facilitate audits.
- Monitor the age, condition, and lifecycle of fleet vehicles to determine optimal replacement times.
- Maintain accurate records of all fleet vehicles, including their status (in-service, out of service, etc.).
- Plan and budget for new vehicle purchases, trade-ins, or sales to maintain a reliable and cost-effective fleet.
- Conduct cost-benefit analysis for extending the lifecycle of older vehicles versus purchasing new ones.
- Oversee the selection and purchasing of new trucks and trailers based on fleet needs and budget.
- Monitor and control fleet-related expenses, including repair and maintenance costs, identifying areas for cost savings without compromising safety or performance.
- Track fuel costs and vehicle usage to optimize fleet efficiency, implementing strategies to reduce fuel consumption.
- Respond to and manage accidents, including gathering police reports and driver statements.
- Coordinate repairs and insurance claims as needed.
- Investigate causes of accidents or breakdowns and implement measures to prevent recurrence.
- Maintain documentation on all incidents for legal, insurance, and safety purposes.
- Process improvement and evolving fleet management approach.
- Industry trend analysis.
- Recommend, adopt, and implement innovative technologies.
- Explore alternative fuels or technologies (e.g., electric trucks, biofuels) to reduce fuel dependency and environmental impact.
- Serve as a liaison between drivers and management, addressing concerns related to vehicle performance and maintenance.
- Provide training to drivers on proper vehicle care, reporting issues, and adhering to safety standards.
- Minimum 3-5 years of relevant fleet management experience with tractor trucks and trailers.
- Strong technical knowledge and understanding of diesel engine maintenance, diagnostics, and repair.
- Proficiency in fleet management software, excellent organizational skills, and strong attention to details.
- Strong working knowledge of all DOT and FMCSA regulations and guidelines.
- Excellent communication, problem-solving and adaptability.
- CDL (preferred but not required).
