Title: Administrative Assistant

Direct Supervisor: Clinical Director

Position Description:

The Administrative Assistant is responsible for helping to facilitate the daily operations of Benevolent Family Services LLC. This role requires strong organizational, communication, and management skills to ensure the efficient functioning of the office and support of the agency's goals.

Key Responsibilities:

Administrative Management:

  • Maintain accurate and up-to-date member training records.
  • Create standing orders for transportation of members and track end date to ensure it is align ment with the authorizations for services.
  • Order and manage office supplies and resources, including coordinating lunch for meetings and setting up/breaking down training environments.
  • Handle inbound calls, relay messages, and manage email correspondence.
  • Take minutes during administrative staff meetings and monthly team meetings, ensuring timely distribution and follow-up on action items.
  • Create structure and productive working environment by being proactive and consistent in planning and managing activities
  • Maintaining upkeep of common areas and front office area member and Candidate Screening:
  • Conduct preliminary screenings to verify eligibility for potential members.
  • Review and screen referrals, coordinate charts, and arrange assessments as needed.
  • Assist with member intake processes and maintain comprehensive records for compliance.


Support to Clinical Director:

  • Provide administrative support to the Clinical Director, including scheduling appointments, managing calendars, and organizing meetings.
  • Assist in preparing reports, presentations, and documentation for clinical programs.
  • Coordinate with clinical staff to ensure timely communication and documentation of member progress and updates.
  • Help organize and facilitate clinical training sessions and workshops.
  • Assist in the development and distribution of clinical resources and materials.
  • Maintain intake and referral tracker
  • Track and upload authorizations


Communication and Coordination:

  • Support owners and managers in carrying out daily activities and special projects.


Operational Efficiency:

  • Implement office policies and procedures to improve efficiency and productivity.
  • Assist in the planning and execution of company events and training sessions.
  • Monitor office operations and suggest improvements to streamline processes.
  • Maintain tracking of credentialing and accreditation
  • Coordinate transportation for community based members and centered based roster


Requirements:

  • Associate’s degree in Business, Human Services, Human Resources Management, Communications, or a related field is highly recommended.
  • Minimum of two years of office management experience.
  • Proficient in MS Office (Word, Excel, PowerPoint) and other relevant software.
  • Strong organizational, project management, and communication skills (both oral and written).
  • Demonstrated commitment to team objectives and agency philosophies.
  • Ability to adapt to changing needs and acquire new skills and knowledge as necessary.
