The Job:

As a Project Coordinator, you’ll be part of our Employment Law COE working as a hybrid employee. We are seeking an enthusiastic individual with positive energy, solid organizational skills, and creative planning abilities. This person will drive project coordination for the team, including leading our team meetings, capturing actions, and building project plans to efficiently manage our compliance deadlines. Additionally, this role will support some administrative tasks such as travel and meeting planning. You’ll get to:


  • Project manage key initiatives (e.g., plan, organize, and manage resources to successfully complete specific project goals and objectives).
  • Partner with executives to manage internal deadlines and documentation for project initiatives.
  • Coordinate and monitor tasks based on priorities, ensuring adherence to set timelines and deadlines.
  • Create basic template documents and maintain a template library for the Employment Law COE team.
  • Maintain the Employment Law COE’s compliance calendar.
  • Coordinate large-scale global (virtual and in-person) meetings, events, and communication sessions with various types of media.
  • Proactively manage departmental business rhythm planning, ensuring that all core business meetings are scheduled with logistics and other pre-meeting requirements identified and addressed accordingly.
  • Continually identify opportunities to streamline functional activities, enabling the Executive to focus on strategic and business initiatives rather than functional logistics.
  • Manage calendar and high volume of meeting requests.
  • Arrange complex domestic and international travel plans and create detailed itineraries.
  • Submit expense reports on behalf of the executives in a timely manner.
  • Serve as a delegate in multiple approval systems.
  • Provide some administrative support to the Vice President, Internal Communications.

  • Minimum of 5 years of professional experience, preferably supporting an executive within a global company.
  • Excellent verbal and written communication skills.
  • Proficiency using PowerPoint and Microsoft Office Suite.
  • Notary Public certification (preferred).
  • Experience using invoice tracking and processing systems (e.g., Legal Tracker) preferred.
  • Excellent analytical, time-management, and project management skills.
  • Superb interpersonal skills and experience working in a complex, matrixed organization.
  • Extreme attention to detail and ability to handle multiple projects at once.
  • High degree of confidentiality and professionalism.
  • Must be extremely proficient in Microsoft Outlook, Excel, and PowerPoint.
  • Ability to work under pressure, adapt to change, and thrive in an extremely fast-paced environment.
  • Positive demeanor and presence.
  • Ability to think outside the box for creative solutions.

The base pay range for this position in Maryland is $59,500-$107,000 per year. Pay is based on market location and may vary depending on job-related knowledge, skills, and experience. A sign-on payment may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.
