Join a leading nonprofit organization dedicated to empowering small business owners from underserved communities as a Senior Program Administrator. This pivotal role is critical in enhancing operational efficiencies, ensuring financial integrity, and fostering participant engagement in initiatives that uplift entrepreneurs.

This position operates in a hybrid model, allowing you to work remotely two days a week while collaborating in the office three days a week.

Key Responsibilities

  • Provide comprehensive support for governance and leadership by organizing scheduling, facilitating communication, and managing documentation for board meetings and executive sessions.
  • Assist leadership with logistical arrangements during travel and staff transitions, ensuring all necessary follow-ups are executed efficiently.
  • Maintain precise records and oversee adherence to legal and organizational policies.
  • Process purchase orders and manage invoicing, billing, and collections related to program services.
  • Monitor vendor payments, delivering accurate financial reporting of program-related expenses.
  • Oversee grant awardees, ensuring compliance with funding requirements and facilitating timely fund distribution.
  • Collaborate with the finance department to manage program budgets and payment schedules effectively.
  • Develop procedures to enhance the efficiency of grant monitoring processes.
  • Conduct outreach to potential funders while nurturing existing relationships to identify new grant opportunities.
  • Communicate regularly with program participants, updating them on new resources and opportunities available to them.
  • Collaborate with partners to maintain cohesive branding and alignment with the organization's mission.

Required Skills

  • Outstanding organizational abilities with a keen attention to detail.
  • Demonstrated experience in financial management, covering budgeting, invoicing, and expense tracking.
  • Strong written and verbal communication capabilities, particularly in engaging a diverse range of stakeholders.
  • Self-driven, with the ability to manage multiple projects in a fast-paced environment.
  • Familiarity with CRM systems, project management tools, and Excel is advantageous.

Qualifications

  • A Bachelor's degree in Business Administration, Finance, or a related discipline is preferred.
  • A minimum of 3 years of experience in program administration or a comparable field, showcasing a proven track record in financial oversight and grant management.
