Key Responsibilities
- Provide comprehensive support for governance and leadership by organizing scheduling, facilitating communication, and managing documentation for board meetings and executive sessions.
- Assist leadership with logistical arrangements during travel and staff transitions, ensuring all necessary follow-ups are executed efficiently.
- Maintain precise records and oversee adherence to legal and organizational policies.
- Process purchase orders and manage invoicing, billing, and collections related to program services.
- Monitor vendor payments, delivering accurate financial reporting of program-related expenses.
- Oversee grant awardees, ensuring compliance with funding requirements and facilitating timely fund distribution.
- Collaborate with the finance department to manage program budgets and payment schedules effectively.
- Develop procedures to enhance the efficiency of grant monitoring processes.
- Conduct outreach to potential funders while nurturing existing relationships to identify new grant opportunities.
- Communicate regularly with program participants, updating them on new resources and opportunities available to them.
- Collaborate with partners to maintain cohesive branding and alignment with the organization's mission.
- Outstanding organizational abilities with a keen attention to detail.
- Demonstrated experience in financial management, covering budgeting, invoicing, and expense tracking.
- Strong written and verbal communication capabilities, particularly in engaging a diverse range of stakeholders.
- Self-driven, with the ability to manage multiple projects in a fast-paced environment.
- Familiarity with CRM systems, project management tools, and Excel is advantageous.
- A Bachelor's degree in Business Administration, Finance, or a related discipline is preferred.
- A minimum of 3 years of experience in program administration or a comparable field, showcasing a proven track record in financial oversight and grant management.
