Executive Assistant to Chief Executive Officer

We’re seeking an organized, proactive Executive Assistant to support our CEO in Newport Beach. This role involves managing calendars, travel, and office operations, along with light bookkeeping and coordinating product samples. The ideal candidate is adaptable, with strong communication skills and a “can-do” attitude. They must be comfortable speaking up, taking initiative, and handling personal tasks. This position is ideal for someone who thrives in a fast-paced environment and enjoys being a key support to senior leadership. In-office presence is required at least four days per week.

KEY RESPONSIBILITIES:
- Executive Support: Manage the CEO’s calendar across multiple companies, coordinate meetings, travel, and provide direct support for professional and personal tasks.
- Communication & Coordination: Serve as a liaison between the CEO and stakeholders, handling correspondence and ensuring follow-through on priorities.
- Office Management: Oversee office maintenance, supplies, and vendor relationships to maintain a productive work environment.
- Event & Travel Planning: Plan and organize domestic and international travel and support corporate events.
- Light Bookkeeping: Track expenses, manage receipts, and assist the CFO with occasional tasks.
- Product Sample Coordination: Manage product sample logistics in collaboration with sales and marketing.
QUALIFICATIONS
- 3+ years of experience as an Executive Assistant or in a similar role.
- Strong organizational, time-management, and communication skills.
- Proficient in Microsoft Office, Google Suite, and calendar tools.
- Ability to work independently with little supervision, and a positive, adaptable attitude.
- Comfortable with mundane tasks and dedicated to maintaining a positive office atmosphere.
Preferred Qualifications
- Experience in the beverage or consumer goods industry (not required).
- Familiarity with basic bookkeeping practices.
WORKING CONDITIONS:
This is a full-time, office-based role with some flexibility for remote work, but in-office presence is required at least four out of five business days. Occasional after-hours work may be necessary for travel or event support.
