Responsibilities

SCOPE OF WORK: Administrative Assistant in the day-to-day responsibilities of managing the property.

In the absence of the Property Manager, the Community Manager shall be the interim supervisor.

DUTIES AND RESPONSIBILITIES:

  • Answer the phone by the third ring in an enthusiastic voice, indicating willingness to assist the caller.
  • Take complete and accurate phone messages when necessary.
  • Greet visitors promptly, indicating willingness to help them.
  • Type correspondence, memoranda, reports and other business materials adhering to a timetable established by supervisor. Maintain database files in computer. Responsible for maintaining all files on computer and computer backups.
  • Maintain files using standardized filing systems so that information can be retrieved quickly.
  • Update resident roll from management agent.
  • Set priorities for own work daily, consulting supervisor when necessary.
  • Work as a team in cooperation with others, displaying a willingness to be helpful at all times.
  • Process/closeout work orders in cooperation with maintenance staff. Place in unit file once closed out in the system.
  • Promptly handle various owner/tenant problems; i.e. complaints, requests, concerns, etc. in a professional manner.
  • Implement and maintain parking pass system.
  • Distribute pool passes as necessary.
  • Handle clubhouse rentals, including pre- and post-inspections.
  • Check mailbox daily.
  • Assist Property Manager and other staff members as needed.
  • Conduct necessary inspections for resale.
  • Assist the Property Manager with the preparation of the agenda and packets for all Board of Directors meetings.
  • Conduct regular property inspections for rules violations as outlined in Rules and Regulations and prepare any violation letters for Property Manager’s signature.
  • Maintain inspection schedule in accordance with established procedures.
  • Review mailing labels for accuracy and duplicates.
  • Mail The Meadow Lark to all off-site Co-Owners and advertisers monthly.
  • Perform other duties as assigned by the Property Manager or Community Manager.

Qualifications

QUALIFICATIONS AND SKILLS:

  • Good verbal and written communication skills.
  • Ability to use fax machine, phones, calculator, time clock, copier and camera.
  • Ability to self-direct.
  • Strong organizational skills.
  • Ability to work tactfully and respectfully with co-workers, residents and contractors.
  • Basic computer skills to include Microsoft Office (Word, Excel, Access).

Pay and Benefits:

$21.00 to $24.00, depending on education and experience.
