As a part of the billing department the order confirmation specialist is responsible for confirming all sales orders that have been delivered to customers. This position is responsible for getting clean, payable, claims to payers within assigned patient work group (POD’s). Complies with payer filing deadlines, all internal processes and procedures, communicates effectively with leadership, other departments, and strives for the highest standards.

Our services allow our clients to remain and thrive in their homes, schools, and communities. The majority of the clients we serve are age’s birth through 21 years old and have a variety of technologies that might include a trach, ventilator or g-tube.

- Position: Order Confirmation Specialist
- Location: Remote
- Hours: Monday-Friday 8:00am-5:00pm
As a part of the billing department the order confirmation specialist is responsible for confirming all sales orders that have been delivered to customers. This position is responsible for getting clean, payable, claims to payers within assigned patient work group (POD’s). Complies with payer filing deadlines, all internal processes and procedures, communicates effectively with leadership, other departments, and strives for the highest standards.
- Responsible for Working the Confirmation Team Report from assigned tabs working oldest to newest dates.
- Verifies tracking history and POD signature / dates on all Sales Orders.
- Ensures that ordering physician, and correct diagnoses are completed as required prior to confirmation.
- Completes Payor Level on Sales Order at insurance tab and makes changes to the line item level when needed. Verifies insurance as necessary.
- Ensures that correct HCPC codes, modifiers, and pricing are accurate. Adds Additional Information, Span Dates, etc. as required.
- Checks for CMN / PAR information and attaches to Sales Order when not previously logged.
- Clears messages, changes WIP State and checks completed box before confirmation.
- Communicates with other departments as necessary by WIP State, Sales Order Note, email, or internal spreadsheet when information needed to confirm Sales Orders cannot be located.
- Ensure invoices / claims make it to the payer accurately without rejection from Clearinghouse or denials at payer level.
- Knowledge of Teas Medicaid and Managed Care Organizations (MCO’s), Private/Commercial, Medicare, Tricare, and private Pay.
- Print, Mail, and notate patient invoices accordingly.
- Completes work within the required time frame to assure timely month end closing.
- High school diploma or general education degree (GED); or one year related experience and/or training; or equivalent combination of education and experience.
- Work experience or knowledge of the healthcare industry, preferably specific to State Medicaid requirements. DME experience preferred.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Able to speak effectively before groups of customers or employees of organization.
