Anteris is a science-driven structural heart company that is redefining expectations and advancing the field through cutting-edge solutions focused on restoring native-like physiology versus treating symptoms of structural heart disease. We are currently developing a new class of TAVR designed to mimic the performance of a healthy aortic valve. The Executive Assistant plays a pivotal role in our organization, serving as a key partner to the CEO and ensuring smooth operations at the highest level of leadership. Based in our Eagan, MN, office, this position is integral to maintaining the CEO's efficiency and effectiveness. As a global company operating in numerous time zones, this position will be expected to work outside of the standard business hours as needed (occasional evening meetings and correspondence).
The ideal candidate will be highly organized, proactive, and possess excellent communication skills. They should be comfortable working in a fast-paced environment and adept at managing multiple priorities simultaneously. Key Responsibilities:
- Scheduling and Calendar Management: The Executive Assistant will expertly manage the CEO's schedule, prioritizing commitments and ensuring optimal time allocation for critical tasks and meetings, resolving schedule conflicts, handle schedule challenges arising from urgent requests and conflicting time zones, and ensuring that meetings are scheduled / rescheduled in a timely manner.
- Follow-up and Communication: Follow up with the CEO on all tasks assigned, providing timely updates on progress and issues. Respond to all messages and requests from the executive within 1 hour, during work hours.
- Travel Coordination: Oversee all aspects of the CEO's travel arrangements, including bookings, itineraries, and logistics, to ensure seamless business trips. Coordinate and manage domestic and international travel arrangements for executive leadership and assist as needed with other department travel. Create and review expense reports for senior leadership.
- Business Acumen: Thoroughly understand the business to anticipate needs and requests and to be able to proactively address challenges before they occur. Acting as a gatekeeper for the CEO's communications, the Executive Assistant will handle correspondence, emails, and phone calls, prioritizing and responding as appropriate.
- Work closely and effectively with the CEO and the Executive Management Board (EMB) to stay well informed, take meeting minutes and follow-up on tasks and projects.
- Handle correspondence and confidential/sensitive information with a variety of internal and external stakeholders including but not limited to Board of Directors and Key Opinion Leaders.
- Create and maintain a variety of documents including PowerPoint presentations, Excel spreadsheets, Word documents, company newsletters, contracts, etc.
- Project Support: Contributing to various executive-level projects, providing administrative support, research, and coordination as needed. While primarily focused on assisting the CEO, this role may occasionally extend support to:
- Other executive team members
- Board of Directors
- Anteris team members
- Assist marketing department with event planning and materials.
- Assist, support and attend Board, Advisory Board and Committee meetings. Create Board papers and materials.
- Assist with meeting set-up including video and audio conferencing.
- Responsible for the office management of the company’s two Minnesota locations which entails working with landlords, ordering and maintain office supplies, coordinating with vendors and performing a variety of office management duties including receptionist for the Eagan, MN office location.

- Remain accessible during core office hours to support executive needs
Required Skills and Knowledge:
- Minimum of 10 years of high-level administrative work experience including experience working with C-suite executives and senior leadership.
- Bachelor’s degree preferred.
- High level computer proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong technical/computer aptitude and willing to learn new programs and become proficient in company programs and software.
- Strong communication skills, both verbal and written; able to create company communications including emails, letters, newsletters, etc.
- Proactive, flexible, and willing to perform a variety of tasks.

- Able to manage deadlines and stressful situations with a high degree of professionalism.
