We are looking for a multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and provide polite and professional assistance via phone, mail, and e-mail, making staffing schedules, and facilitating communications to the team. To be successful as an administrative assistant, you should be professional, polite, and attentive while also being accurate. You should always be prepared and responsive, willing to meet each challenge directly. Administrative assistants must be comfortable with computers, and excel at verbal, written, and electronic communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.

Responsibilities

  • Answer and direct phone calls, emails, and inquiries from staff, clients, and candidates promptly and professionally.
  • Be on-call overnight to handle urgent matters as required.
  • Manage and coordinate schedules for meetings, interviews, and training sessions, sending reminders and following up as necessary.
  • Prepare and maintain reports, spreadsheets, and correspondence as required, ensuring all documents are accurately filed and easily accessible.
  • Maintain and update employee and client records in staffing management systems, ensuring that data is accurate and up-to-date at all times.
  • Assist in the onboarding process for new employees, including collecting and verifying necessary documentation and sharing essential materials.
  • Perform basic bookkeeping tasks, process supply orders, and assist with document preparation and presentations.
  • Coordinate with other team members to ensure smooth day-to-day operations and timely communication across all departments.


Qualifications

  • Associate’s Degree or equivalent experience
  • Experience in a Secretary, Administrative Assistant, or similar role, staffing or logistics environment preferred
  • 2-3 years’ experience in a related field
  • Strong working knowledge of computers, including Internet, e-mail, word processing, spreadsheet and presentation (e.g. Excel, Word, PowerPoint) abilities.
  • Demonstrated ability to communicate clearly and succinctly, both verbally and in writing.
  • Ability to manage multiple tasks and priorities effectively while ensuring high attention to detail and meeting deadlines.
  • Strong organizational abilities to keep track of various projects, schedules, and documents.
