Responsibilities of the Administrative Assistant include but are not limited to:
- Review job folders for document completion prior to invoicing
- Maintain social media accounts for branch (Facebook, Instagram, Linked In)
- Performing general office and clerical duties as needed
- Follow up on past due customer invoices
- Upload invoices to proper customer portals
- Operating telephone equipment and referring incoming calls to appropriate personnel
- Special projects as assigned
- Creating electronic files of job folders
- Time Entry as needed
- Assist with uploading photos from iPad
- Assist with document maintenance for various programs
- Cross train with other admins and service coordinator
- Positive attitude, good cheer, proactive, and ability to put ‘team’ first
- Outgoing, enjoys interacting with people
- Comfortable with Excel, Word – prior experience with P21 ERP desired, but not required
- Excellent written and verbal communication skills
- Flexibility and desire to take on additional responsibilities
- Ability to multi-task while maintaining attention to detail and deadlines
- Problem solving, analytical skills and attention to detail
- Strong desire to learn, pitch in and grow with the company
