The Chicago-Kent College of Law is seeking a temporary Administrative Assistant for a short-term assignment of approximately three (3) months with an average of twelve (12) hours worked per week. This role involves providing administrative support for the admissions process. The assistant will collaborate with team members to ensure that admission applications are processed promptly and thoroughly. Responsibilities include handling inquiries from potential applicants and current candidates via telephone and email and producing and mailing decision letters as directed by supervisors.

COMMUNICATIONS
Essential skills include clear written communication for emails and decision letters, active listening to address applicant concerns, and verbal communication for clear information sharing.

CUSTOMER SERVICE
Interpersonal skills are vital for building rapport, while attention to detail ensures accuracy. Maintaining confidentiality is essential when dealing with sensitive information. These skills improve the admissions process and contribute to a positive experience for applicants. Responding to inquiries professionally and supporting the Admissions team enhances stakeholder interactions, creating a favorable impression of the organization.

Special Schedule Requirements
Supervisors may allow a hybrid work schedule, permitting employees to work from home one to two days per week once the onboarding process is complete and job skills meet expectations in supporting the admissions process. Please be aware that this schedule is subject to change on short notice due to the evolving needs of the admissions workflow.

Selected candidate should have a working knowledge of the following Google Workspace applications: Gmail, Docs, and Calendar. Proficiency in using these applications is expected from the start of the assignment, as no on-the-job training will be provided. The supervisor will collaborate to integrate these applications into departmental processes when applicable.

Physical Environment and Requirements
The workplace is a fast-paced law school office environment requiring frequent interactions with faculty, staff, and current and prospective students. These interactions take place in person, over the phone, and electronically. Most duties and work time are spent at a desk or table, where various office tasks are performed using computer software, as detailed in the Knowledge and Skills section above.

The administrative assistant must be able to travel between departments located on multiple building floors, with elevator access available.

Read/respond to emails, access the admissions database, and run reports.

Ensure that applications for admissions are complete and processed in a timely manner.

Answer telephone and email inquiries from potential applicants and candidates currently in the application process.

Produce and mail decision letters as directed by the Admissions Committee to inform applicants of their admissions status.

Collaborate with the Admissions team to evaluate and review applications and maintain applicant records.
